Graduate Student Affairs Officer 2 at Bourns College of Engineering: The Bourns College of Engineering is hiring multiple Graduate Student Affairs Officers to join our team. These positions are critical in supporting our mission to enhance the academic experience for our graduate students and faculty. As a Graduate Student Affairs Officer, you will: Advise and Support Students: Guide students on academic progress, assist with degree requirements, and provide orientation sessions. Manage Recruitment and Admissions: Evaluate applications, conduct outreach, and make recommendations to the Graduate Admissions Committee. Coordinate Events: Organize orientations, recruitment events, and colloquium events. Collaborate on Financial Aid: Work with graduate advisors and financial staff on fellowships, grants, and employment packages. The full salary range for the Graduate Student Affairs Officer 2 is $24.71 - $41.67 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff. Department Custom Scope Under the supervision of the Graduate Affairs Manager, the incumbent has primary responsibility for providing service to current and prospective students and faculty within the Bourns College of Engineering. The major functional areas include: (1) Outreach, Recruitment and Admissions; (2) Student Advising; (3) Program Management and Development; and (4) Special Projects. The incumbent conducts curriculum advisement, assessment and matriculation of prospective and current students on academic matters as well as advising faculty, staff and students regarding policies and procedures on all aspects of graduate student affairs. The incumbent helps develop new programs, manage existing programs and provide support to the department administrative officer and/or FAO on various tasks. The incumbent represents the department at meetings, conferences and events; conducts student outreach and orientation sessions. Develops, presents and coordinates content and material for marketing and recruitment efforts and updates the department's website; performs research to assist the department with accreditation and assessment (internal and external) reviews, i.e., graduate program review, ad hoc data, ABET, etc. The incumbent may also serve as back-up for graduate student employment for their assigned department(s). Screen and answer questions from students, staff, faculty, or the general public in person, by phone, e-mail, or virtually. Schedule appointments, make appropriate referrals, process applications for new students, intercept student requests for processing graduate forms, perform data entry, and maintain students' electronic files. Assist with the editing of websites related to the advising unit. This position is front-facing and customer service-oriented, which will require the incumbent to have or obtain a knowledge of the departments, the staff, and their respective faculty to assist visitors and answer questions. Key Responsibilities: Academic Advising: Provides advice and assistance to students on academic and degree progress and major requirements; assists students in determining a major, alternative academic options, resolve scheduling conflicts, and similar issues. Advises students, faculty, and public on university, campus, and departmental requirements, policies, and procedures. Independently develops and maintains program's Graduate Student Handbook. Assures that the handbook sets forth the requirements for the M.S. and Ph.D. programs and provides information and guidelines to assist students in meeting the requirements for their degree program. Conducts quarterly reviews of student records to ensure satisfactory academic progress is being made. In consultation with the graduate advisor, identifies complications affecting student success, (GPA or progress issues) and recommends appropriate course of action. 20% Recruitment and Admissions: Implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; reviews domestic transcripts for degree eligibility; initiates and arranges student recruitment visits. Critically review and evaluate graduate application files and make recommendations to the Graduate Admissions Committee regarding the quality of the applicants. Analyze documents representing domestic and foreign education for acceptability of prior college credit. 15% Applies professional Student Services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization. Works with relevant staff in management of incoming graduate student funding (central, college, and departmental funds) along with quarterly employment; ensures financial support packages are in compliance with UC policy, federal and state restrictions, etc. 10% Financial Aid: Participates in the processing, evaluation, and awarding of student fellowships, grants, and other awards; advises students on financial aid options. Collaborate with Graduate Advisors of Admissions, Enrolled Students and appropriate financial staff. 10% Student Conduct: Provides information to students and faculty regarding organization policies and procedures on student conduct. 10% Events: Coordinates and implements non-complex student events and assists in the planning and implementation of complex events.
