Role
We are seeking a highly competent, detail oriented, resourceful and motivated individual to provide executive administrative support for the Chief Legal Officer, Corporate Legal team, and Global Strategy & Ops team in Applied Materials Legal and Compliance Organization.
The successful candidate will be outgoing, collaborative, and proactive and have demonstrated excellent problem-solving skills. This highly organized individual must discreetly handle details of a confidential and critical nature and interact comfortably and skillfully within and outside the company, including with members of our Board of Directors, visitors and vendors. S/he will be expected to effectively resolve time sensitive issues with professionalism and exhibit strong organizational and communication skills, as well as excellent attention to detail. S/he must demonstrate the ability to credibly and competently interact with other administrative assistants and managers within and outside of Applied Materials Legal and Compliance Organization. The individual will be expected to apply flexibility and sound judgment in a changing environment to execute tasks with minimal direction and to work both independently and as a member of a team in a fast-paced, stimulating, and collegial environment. This individual will be expected to plan, organize, and execute various projects as needed from time to time, so previous project management experience is desired.
Key Responsibilities
- Executive-level administrative support, including managing calendar, travel coordination and expense reporting for team members, email communications, and meeting/event planning and management
- Coordinate team meetings and activities, assist with meeting agendas and track action items for follow-up
- Schedule Board/Committee meetings, coordinate travel arrangements for Board members, and coordinate new Director onboarding
- Prepare Board/Committee materials and post them on Board portal
- Track and process payments to Board members and assist with maintenance of Board and Committee records and calendars
- Prepare and manage new vendor requests and purchase orders
- Assist with coordination and tracking of key team data (budgets, projects, timelines, etc.), related coordination with Finance, Accounts Payable, Information Technology and other internal teams
- Assist with team members’ preparation of Power Point presentations (including the incorporation of graphics, spreadsheets, and pictures, video, etc.), Word and Excel documents,
- General office duties including management of office supplies, maintenance of confidential records and files in accordance with internal company procedures and affixing the corporate seal
- Manage and execute special projects and group task lists, as needed/assigned

The ideal candidate will have the following:
- Minimum of 5+ years’ experience in a corporate administrative role supporting and/or reporting to executives
- Ability to multi-task, prioritize and meet deadlines with minimal direction in a fast-moving environment
- Excellent organizational skills, attention to detail and timely follow-through
- High personal standards of excellence and sound judgment
- Strong interpersonal skills and proven ability to interact in a diverse and inclusive environment with all levels of internal and external contacts with diplomacy and professionalism
- Clear and concise communication style
- High integrity and ability to maintain confidentiality of sensitive information
- Desire to build relationships with fellow team members, a strong willingness to help and support others and desire to contribute to a positive team culture
- A good sense of humor and a positive, can-do attitude
- Proven mastery of Microsoft applications including Outlook, Word, PowerPoint and Excel
- Demonstrated ability to learn and adopt new office technologies and an interest and competence in using technology to improve work efficiency
- Ability to quickly learn and follow organizational policies, practices, and operations, and convey them to others
- Desire to learn and take on new responsibilities
- Project management experience a plus
- Previous experience working in legal environment preferred, but not required.

$133,500.00 - $183,500.00The salary offered to a selected candidate will be based on multiple factors including location, hire grade, job-related knowledge, skills, experience, and with consideration of internal equity of our current team members. In addition to a comprehensive benefits package, candidates may be eligible for other forms of compensation such as participation in a bonus and a stock award program, as applicable.
For all sales roles, the posted salary range is the Target Total Cash (TTC) range for the role, which is the sum of base salary and target bonus amount at 100% goal achievement.
