Annually, 42 staff members provide services and education to over 2,000 people living with HIV and prevention services to over 3,500 people in our community.

Our Mission is to serve people living with or at risk for HIV with dignity and respect.

GENERAL DESCRIPTION:

Reporting to the Director of Administrative Services, this position operates the switchboard, greets all visitors, schedules appointments and provides clerical support for AOC programs and services. This position oversees duties of other reception staff to establish and maintain exemplary customer service.

PRIMARY RESPONSIBILITIES:

Operate the switchboard, routing calls, taking messages and providing information about services.

Greet walk-ins in the reception area.

Oversee data entry for oral health program.

Prepare deposits for all monies received.

Schedule client appointments for various departments.

Sort and distribute mail daily.

Disperse monthly bus passes and gas vouchers.

Book meeting rooms for internal and external meetings.

Provide clerical support for programs and services.

Assist with billing procedures, including verification of client insurance benefits, collection of insurance co-pays, submission of insurance claims.

Participate in agency meetings, retreats, work sessions and events as requested.

Coordinate reception staff including schedules of reception desk coverage.

Coordinate and facilitate monthly reception staff meeting.

Handling customer complaints.

QUALIFICATIONS:

High school diploma, some college preferred; multi-line switchboard experience; Bi-lingual Spanish skills preferred; general clerical office skills; ability to communicate effectively with all types of people; proficiency in computer and word processing skills, including Microsoft Word and Excel.

EMPLOYMENT STATUS:

Hourly; full-time; full benefits; generous vacation policy.
