The Administrative Assistant is a team member of the Administrative Support Team that provides comprehensive support, facilitating day-to-day operations and managing administrative functions within Mendoza's academic departments.
In this role, the Administrative Assistant will be expected to manage tasks effectively, including the delivery and execution of daily activities supporting Mendoza academic departments such as financial responsibilities, daily operations, communications, and event planning and execution.
What You'll Do
- Various administrative tasks such as calendar management, budget planning and oversight, travel and expense logistics and management, cross-functional communication and engagement with key stakeholders, engagement and management of external partners and constituents, and planning and execution of faculty affairs related activities.
- Coordinating activities that support and enhance department culture, fostering a positive, inclusive, and collaborative work environment for faculty, staff, and students.
- Foster a collaborative work environment through strong relationships with internal and external stakeholders, bringing various teams together to achieve shared goals.
- Work in partnership with the department chair to manage timelines for department goals and ensure accurate information to inform decision making.
- Collaborate with other Mendoza staff divisions to plan and deliver college and departmental events and identify opportunities for innovation and efficiencies. (i.e. Commencement, Academic Conferences)
Key competencies for this role include strong time management, keen attention to detail, the ability to handle confidential matters with discretion, exceptional communication skills, a sense of urgency, and intellectual curiosity.
As the Administrative Assistant for an academic department, you will play a crucial role in developing and maintaining processes to measure and report departmental metrics. While your primary focus will be supporting the academic department, you may also provide assistance to the broader Mendoza student population and the Academic Affairs team.

Minimum Qualifications:
High school degree or GED
Candidates should have at least three years of administrative support experience, including:
- Ability to establish objectives and develop strategies for achieving objectives
- Exceptional organizational skills, and an ability to manage a complex portfolio of activities happening concurrently
- Ability to develop and maintain diverse stakeholder relationships
- Collaborative and team-oriented working style
- Strong organizational capacities
- Comfortable working autonomously and with some level of ambiguity
Preferred Qualifications:
- Experience working in an inter-cultural; environment
- Budgeting and expense management preferred
- Experience in collaborative environments like Google Suite
