Administrative Assistant Senior/Intermediate - Military Veterans

The Senior Administrative Assistant will play a crucial role in supporting the administrative functions of the Von Voigtlander Women's Hospital Administration team and the Fetal Diagnostic and Treatment Center. This position will focus on billing, billing reconciliation, and reporting for the FDTC, reviewing and updating unit statistics, backup OR scheduling for the Labor and Delivery unit, scheduling for the Fetal Diagnostic and Treatment Center, and processing and submitting expense reimbursements.

  • Billing and Reconciliation:
    • Assist with managing and overseeing billing processes for the Fetal Diagnostic and Treatment Center.
    • Reconcile billing discrepancies and ensure accurate reporting.
    • Generate regular billing reports and present findings to the administration team.
  • Unit Statistics:
    • Review and update unit statistics for the Labor and Delivery unit and the Fetal Diagnostic and Treatment Center.
    • Maintain accurate records and provide statistical reports as needed.
  • Backup OR Scheduling:
    • Coordinate OR scheduling for the Labor and Delivery unit.
    • Ensure efficient scheduling practices and communication with relevant departments.
    • Provide backup and support to postpartum phone calls
  • Scheduling:
    • Support scheduling for the Fetal Diagnostic and Treatment Center.
    • Ensure appointments are accurately booked and patient needs are met promptly.
  • Expense Reimbursements:
    • Process and submit expense reimbursements for the department.
    • Ensure compliance with hospital policies and procedures.
  • Providing, ordering, and maintaining supplies and support to the unit; other duties as assigned
  • High school diploma or equivalent.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to be a self-starter and wanting to learn

Senior:
  • More than four years of administrative support experience, preferably in a healthcare setting.

Intermediate:
  • Two to four years of of administrative support experience, preferably in a healthcare setting.
  • Associate's or Bachelor's degree in Business Administration, Healthcare Administration, or a related field.
  • Experience with billing and reconciliation in a healthcare setting.
  • Knowledge of OR scheduling and healthcare scheduling software.
  • Familiarity with expense reimbursement processes and policies.
  • Experience working in a women's health or maternal-fetal medicine environment.

This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.
