Job Summary: The International Division is the central convener and leader of campus-wide international programming and engagement at the University of Wisconsin-Madison. The International Division supports international faculty, staff, and students on campus, as well as academic programs, internships, research, and partnerships abroad. The division is a resource for campus, the city of Madison, and the state, reinforcing the university's position as a top global institution and ensuring students are prepared to engage in an increasingly diverse and interconnected world. The International Division Dean's Office seeks a highly organized, dynamic, and versatile administrative assistant to play an important role in helping the office run smoothly and efficiently by providing administrative support. This position includes diverse responsibilities with a focus on organizing logistics for senior leaders within the division, office management, and event planning. Duties include managing calendars, scheduling meetings, correspondence, and travel arrangements; planning, coordinating, and contributing to division events; project support; and special assignments. Responsibilities: Provides administrative support to a department or group of professionals in support of unit goals under direct supervision 30% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations 20% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures 30% Tracks, stocks, orders, and inventories office supplies to ensure adequate materials are available for workplace operation 15% Serves as first point of contact for individuals and groups providing basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities 5% Other duties as assigned Institutional Statement on Diversity: Diversity is a source of strength, creativity, and innovation for UW-Madison. Excellent interpersonal skills, including the ability to use tact, courtesy, and discretion in dealing with a variety of individuals. Ability to exercise independent judgment, be highly organized, display individual initiative, work under deadline pressure, and use resources effectively in a complex team environment. Excellent computer skills, electronic calendar management and database experience as well as proficiency with Microsoft Word, Outlook, Excel. Skilled in formatting and proofreading documents. Knowledgeable of basic budgeting practices Work Schedule: Monday through Friday, 8:00 a.m. - 4:30 p.m, or as directed by your supervisor.
