Confidential Executive Coordinator POSITION DETAILS The City University of New York's (CUNY) Central Office of Student Affairs (COSA) is dedicated to enhancing students' educational experiences by providing support in areas such as leadership development, student organizing, community building, and campus life. Reporting to the Vice Chancellor for Student Affairs, the Confidential Executive Coordinator is responsible for providing high-level administrative support to ensure the efficient operation of the office. The incumbent will serve as a key point of contact between the Vice Chancellor, department staff, students, and other internal and external stakeholders In addition to the CUNY Title Overview, responsibilities include but are not limited to the following: Assist in managing the Vice Chancellor???s calendar. Manage telephone and in-person access to the Vice Chancellor and related staff. Organize, manage, and track written correspondence. Assist in coordinating agendas and programs of meetings and events which includes preparing minutes and providing necessary materials. Plan, coordinate, and arrange conferences, meetings, and events for the Student Affairs team including making travel arrangements and partaking in special projects, to ensure a seamless execution of all office events. Liaise with various internal and external stakeholders on behalf of the Vice Chancellor. Coordinate mass mailings and manage contact lists. Provide budget and procurement support. Manage HR appointments and timesheets for part-time employees and administrative staff. Update office databases, lists, and files to ensure completeness and accuracy. Maintain current information on the office website. NOTE: Until further notice, this position is eligible for a hybrid work schedule. QUALIFICATIONS Minimum: Bachelor's degree required. Preferred: Administrative experience in a non-profit and/or higher education organization. Discretion and professionalism in handling sensitive and confidential information. Demonstrated knowledge of and experience in organizational collaboration across a university setting. Excellent communication, interpersonal, and organizational skills. Ability to work in a setting where teamwork and cooperation are highly valued. Demonstrate strong problem-solving abilities, showcasing an aptitude for identifying issues, analyzing complex situations, and developing effective solutions. CUNY TITLE OVERVIEW Provides administrative support as a confidential assistant to a Campus or University Executive. Coordinates office operations such as meetings, communications, events, and reports Maintains extensive files and records for the unit Maintains accurate calendars, schedules, and key dates Collects data for, prepares, and distributes reports and presentations using appropriate technology; runs basic system queries and reports Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials Provides clear communications on the Executive's behalf both within and outside the unit Performs related duties as assigned. This position is excluded from union representation. CUNY TITLE Assistant to HEO FLSA Non-exempt COMPENSATION AND BENEFITS The salary range is $51,781 - $57,517 , commensurate with education, credentials, and experience.
