Position Summary:
Rutgers, The State University of New Jersey is seeking a Secretary II for the Inpatient & Nursing Services Department within Rutgers University Behavioral Health Care.
The primary purpose of the Secretary II is to be responsible for the secretarial and administrative services to the unit. He/she acts as the unit receptionist and works closely with the unit staff.
Among the key duties of this position are the following:
- Provides secretarial assistance to the Vice President of Acute & Nursing Services, Nurse Manager, Assistant Nurse Managers, Principal Management Assistant and Acute Services staff as needed.
- Assures paperwork is completed and routed correctly.
- Maintains an accurate filing system to meet the needs of the Unit.
- Develops and maintains computerized databases related to the program needs.
- Performs assigned photocopying, collating, and distributing of materials required by the Unit..
- Maintains office supplies and equipment necessary for efficient functioning of the office.
- Serves as a liaison between the office and other departments within the University system.
- Handles telephone calls in a professional and helpful manner.
- Attends and/or coordinates meetings and conferences relevant to programs.
Minimum Education and Experience:
- Graduation from an accredited program in secretarial studies plus three (3) years of full-time secretarial experience required. An additional year of experience is required in lieu of the secretarial program.
- College credits may be substituted on a year-for-year basis for secretarial experience. Up to 60 credits may be substituted for two (2) years of secretarial experience.
