Employer Relations Coordinator | Stanford University - Military Veterans

JOB PURPOSE: Under the general supervision of the appropriate administrator, the Employer Relations Coordinator will work with the Employer Relations and Outcomes (ERO) team and others within Stanford Career Education to provide operational support with employers and other partners who seek to recruit and hire Stanford students and alumni. The Employer Relations Coordinator is instrumental in understanding and providing support for a range of events and customer services, including employer info sessions, interviews, and coffee chats via online platforms. As needed the Employer Relations Coordinator works with colleagues such as the Office Manager, Accounting and Budget Manager, and members of the Career Coaching and Education team. In addition, the Employer Relations Coordinator provides a range of administrative support for events that includes career fairs, career educational events, and sponsorship programs. This role will communicate department policies and practices, generate routine communications, maintain supplies for the ERO team, and foster a positive environment while working and as needed, training student and/or contingent workers. Given that the Employer Relations Coordinator works with employers, students, team members, other partners, and campus, this position requires strong organizational skills and attention to detail, excellent customer service and interpersonal skills, proficiency with online platforms including Handshake and tools such as Excel, reporting, and demonstrated proficiencies with prioritizing work while remaining flexible to a changing work schedule and team priorities. This is a 10-month appointment (August - May) CORE DUTIES: * Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures. * Serve as the main point of contact for the ERO team, welcoming visitors, managing inquiries, and fostering a friendly environment at events. Additionally, facilitate the use of online platforms like Handshake and support communications through the ERO employer email account * Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors. * Coordinate administrative tasks for recruitment events and interviews via online systems, including room reservations, event management, AV support, and travel logistics. Responsibilities include preparing rooms, setting up AV, organizing check-in stations, coordinating catering, and ensuring room assignments are accurate while maintaining and tracking registration information for employers and students. * Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays. * Coordinate and generate standardized communications in consultation with CareerEd MarCom and other departments, manage on-site logistics such as signage and event information, and ensure the accuracy of recruiting documents like interview schedules and resumes. Maintain up-to-date knowledge of Handshake and other employer platforms through ongoing training and professional development * Process and monitor routine financial transactions, which may include researching and resolving discrepancies. * In consultation with the Accounting and Budget Manager and division-level guidance, supports the processing and tracking of finance-related items such as invoices, payments, and compliance with Stanford and division policy. * Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves. * Collaborate with the CareerEd's Office Manager to ensure that supplies, event planning, and facilities planning complies with office practices and Stanford guidelines. * May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training. * Provide administrative and logistical support for career fairs and events, assist with employer outreach and communications, track registration data, and monitor and resolve recruitment issues for employers and staff * May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness. * Train staff, student assistants and campus partners on the platform including Handshake. * Provide reception desk support, assist with budget processes, and collaborate with departments to share updates on schedules, room usage, and shared spaces in Stanford Career Education. * Other duties may also be assigned MINIMUM REQUIREMENTS: Education & Experience: * High school diploma and three years of administrative experience, or combination of education and relevant experience. Knowledge, Skills and Abilities: * Proficient computer skills and demonstrated experience with office software and email applications. * Demonstrated success in following through and completing routine tasks. * Strong organizational skills and attention to detail. * Strong verbal and written communication skills. * Excellent customer service and interpersonal skills. * Ability to prioritize and multi-task. Certifications and Licenses: None PHYSICAL REQUIREMENTS: * Constantly perform desk-based computer tasks. * Frequently sitting. * Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds. * Rarely twist/bend/stoop/squat, kneel/crawl. WORKING CONDITIONS: * This is a hybrid position requiring at least three days of onsite work per week and more as needed to meet employer, student, and departmental needs. * Able to work on evenings and weekends, as needed, especially during recruiting seasons * Able to drive a vehicle or golf cart, as needed * Carry boxes and materials, where reaching, grasping forcefully, and pushing/pulling furniture to set up event rooms is required. The expected pay range for this position is $31.79 per hour to $33.07 per hour. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
