Customer Service Assistant, Highlander Service Station Job ID: Location: Main Campus - UCR Schedule: 8AM - 5PM Category: Campus Administration and Operations Salary: $59,383 - $85,107 Full/Part Time: Full-time(100%) Organization: Auxiliary Services Department: Support Services Application Deadline: Open Until Filled Position Information: UC Riverside's Campus Business Services is recruiting for the Customer Service Assistant, Highlander Service Station. The full salary range for the Customer Service Assistant, Highlander Service Station is $28.44 - $40.76 per hour. However, the expected pay scale for this position is up to $31.89 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. The Customer Service Assistant provides operational, administrative and customer service support to Highlander Service Station (HSS), a unit in Campus Business Services. HSS is a one-stop-shop that oversees the production and distribution of the UCR campus ID card (R'Card), processes and ships campus and retail mail, and provides notary, passport, and headshot services. The CSA will be the primary contact and support all facets of HSS services and oversees the operations of the front counter which is staffed by student workers. Assists with the sale and coordination of new products and services at HSS. Provides excellent service at all times to a diverse population of students, staff and faculty by explaining and promoting the services available to the customer; troubleshoots and resolves a wide variety of complex and/or technical issues related to any HSS service line. Conducts monthly inventory and assists with month end reporting. Creates and oversees the student staff calendar. Applies organizational skills and attention to detail to be able to work successfully in a fast-paced work environment. May provide operational, administrative and customer service support, similar in scope, to other CBS units as needed. Federal, state, or local government directives may impose additional requirements. Requirements: Educational Requirements Education and/or college level coursework in a related field. Preferred Conditions Completion of UCR Cashier Training and Banner Training. Preferred Experience Requirements 5 years of recent and related experience providing administrative support and customer service in a fast-paced and dynamic environment. Required Experience and/or working knowledge of cash handling and reconciliation of register sales; experience using electronic data processing cash registers and standard cashiering procedures. Required Experience working in a retail environment. Preferred Experience creating work schedules and supervising entry level/front line staff. Preferred Special Conditions Special Hired candidate must successfully pass a background check prior to appointment start date. Required Overtime Required Minimum Requirements Ability to conduct simple to moderately complex analysis or qualitative review of individual cases, materials or circumstances to determine the appropriate action, decision or solution in order to resolve problems, or provide alternative solutions to address problems, issues or concerns. Solid mathematical skills to perform accurate inventory counts. Strong and professional communication (oral and written), listening and interpersonal skills. Ability to interact with diverse and a broad spectrum of customers and personnel via email, phone and in person with ability to provide exceptional customer service and satisfaction at all times. Ability to interpret and apply established policies, procedures, rules and guidelines pertinent to an assignment, task, project or services offered. Ability to develop and maintain substantive operational and technical knowledge and understanding of department specific programs, products, services and systems. Ability to develop and maintain technical and functional knowledge of operational office equipment and hardware necessary to perform the duties of the position. Ability to perform troubleshooting on equipment as needed. Proficient knowledge and experience with Microsoft Office Suite of programs. Ability to run queries from software/programs, gather data and information, evaluate and/or manipulate data to generate reports as requested. Preferred Qualifications Working knowledge of modern retail practices (brick & mortar and online). Knowledge of UCR campus resources, policies and procedures. Key Responsibilities: Operational Support: Provide support in administering services provided at the Highlander Service Station (HSS). This includes the production of the campus identification card (R' Card), processing and shipping retail and campus mail, processing passport photos, headshots, and notary services. Also assists with the sale and coordination of new products and services. Understands, promotes and clearly communicates the benefits, services, and access provided by HSS. Resolves simple to complex technical issues. At times may be required to collaborate and contact appropriate campus department/personnel for assistance when services may be disrupted. Establish and maintain working knowledge of all hardware and peripheral devices in Highlander Service Station. This may involve managing the print capability of the cash register and the credit card terminal. May also involve updating mail prices on postage meter. Responsible to install ribbon and laminate in the ID card printers and conduct cleanings at regular intervals or ad hoc as needed. Responsible to place service calls to vendors as needed. May provide operational, administrative and customer service support, similar in scope, to other CBS units as needed. 25% Front Counter Management: Primary contact and support of all facets of HSS services and oversees the operations of the front counter which is staffed by student workers. Provide general supervision to student staff. Receive and direct incoming calls, take messages and make appropriate referrals, provide general information over the telephone, by email and in person. Interact with diverse and a broad spectrum of customers and personnel via email, phone and in person. Use strong and professional communication and listening skills to provide exceptional customer service and satisfaction at all times. Responsible for daily reconciliation of register sales, following prescribed credit card security policies, and processes payments for retail mail, notary and passport services, and deposits to Bear Bucks, following departmental and university policy and procedures as needed. Receives inventory, prepares forms and labels, and other office assignments as needed. 25% ID Card Program Support: Secondary contact for ID Card program. Develop in-depth technical knowledge and utilizes the Identification Data Management System (IDMS) to generate a UCR ID Card (R'Card) for each campus affiliate. As necessary, adapts IDMS to build new profiles for non-affiliates to issue cards. Utilizes MyPhoto software which allows individuals to upload their photo for use on the ID card. Approves and/or disapproves photos generated by the online application based on prescribed and established guidelines. Oversees the process and import of photos into IDMS and conducts periodic reviews for quality assurance. Develops in-depth technical knowledge and utilizes the Blackboard Transaction System software to review customer accounts, and assess online account access. Assist Residence Hall students with questions, concerns, or issues related to their meal plans and dining dollar accounts; the scope of which can range from simple to complex. Develops in-depth knowledge of the operation in order to demonstrate fluency and troubleshoot/resolve card-related matters. 20% Administrative Assistance: Responsible to update information in the HSS student training manual/handbook, and revise procedural information as needed. Ensures that associated forms are updated and copies available. Creates and oversees the monthly student staff calendar in order to schedule office coverage as needed. Develops and provides conceptual ideas and information for marketing material in order to promote HSS services. Oversees the coordination and scheduling of the marketing material postings (online and hard-copy). Runs simple to complex reports in the Blackboard Transaction System and submits Epay requests as needed. Runs simple to complex reports in IDMS and Blackboard to assist with month end sales information and print statistics. 15% Management of Copier Program Billing: Responsible for all data entry for the web based billing of CBS Copier Program, whereby multiple models of copiers are leased to more than 200+ campus customers.
