Administrative Assistant - Military Veterans

Position Summary:

Performs advanced, diversified and confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. Work is confidential in nature, and highly responsible. Requires an understanding of organizational functions, operations, and procedures.

Essential Duties and Responsibilities:

  • Works for senior executive and typically coordinates administrative duties for a major organizational function.
  • Provides prompt, efficient, courteous service to both internal and external customers; maintains a high level of professionalism.
  • Performs work requiring a high level of confidentiality.
  • Take initiative to identify opportunities for executive staff to drive the company culture.
  • Prepares correspondence, memoranda, and reports including the consolidation and editing of monthly activity reports and other correspondence.
  • Schedules and maintains calendar of appointments, meetings, and travel itineraries and coordinates related arrangements.
  • Coordinates administrative duties including filing, processing of invoices and requisitions, monitoring and reconciling controllable expenses, annual budgets for administration expense centers, and handles complex secretarial and administrative functions.
  • Coordinate training, special functions, meetings and/or conferences by coordinating room arrangements, refreshments and equipment/supplies.
  • Generates and distributes reports concerning/affecting the activities of the functional areas reporting to senior executive including the monthly activity reports, budgets and controllable reports.
  • Order office supplies for administrative office.
  • Perform other duties and tasks as determined by the leadership team.

Requirements:

Education and/or Experience, Knowledge, Skills & Abilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements for the position include:
  • High school diploma or equivalent.
  • Minimum of 0-2 years of administrative experience, preferably supporting VP/General Manager and above level. Other relevant experience will be considered.
  • Excellent written and verbal communication skills with strong interpersonal skills.
  • Excellent organization skills, accuracy, and attention to detail.
  • Ability to maintain confidentiality.
  • Ability to work in a fast-paced environment.
  • Flexible, with ability to work in a team setting supporting several people and manage multiple tasks at one time.
Preferred Qualifications:
  • Associate or bachelor's degree, administrative certification.
  • Minimum of 5 years of administrative experience.
  • Past experience supporting a VP or GM level in small to mid-size distribution, manufacturing, fabrication or similar company.
  • Past experience with contract screening, organization, and storage according to retention guidelines highly desired.
  • The successful candidate will demonstrate a willingness to think outside the box, learn on the fly, and make things happen.
  • The successful candidate will demonstrate an innate desire and commitment to go above and beyond, exceeding expectations.
Software Knowledge:
  • Demonstrated proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
  • Proficiency with SharePoint, OpenText, and SAP applications highly desired.
