The Department of Mathematics and Statistics at Auburn University invites applications for the Administrator of Business and Administrative Services position. Under the direction of the Department Chair, this position is responsible for the administrative and business operations of the Department of Mathematics and Statistics, directing programs, strategies, and initiatives to support and enhance the mission of the department.

Essential Functions

  • Strategic and Operational Efficiency: work with Chair, UPO, GPO and others in department leadership to align operation activities with strategic goals. Assist with departmental fiscal planning on the operational side including forecasting, tracking expenditures, and ensuring alignment with goals. Will support existing programs and will be a key part of the leadership team, developing new initiatives and optimizing business operations to better meet the growing needs of students, faculty, and staff. Additionally, this position will focus on creating innovative technological solutions to enhance operational efficiency.
  • Graduate Student Affairs Administration: Supervise administrative processes related to graduate student registration, records management, and academic progress. Facilitate logistics for curriculum revisions and program evaluations specific to graduate studies. Manage the GTA appointments, scheduling, training, and performance evaluation process.
  • Faculty, Postdoc, and Graduate Student Recruitment Coordination: Coordinate the recruitment processes for faculty, postdocs, and graduate students. Organize recruitment events, manage applications, and facilitate the interview process.
  • Promotion and Tenure Coordination: Coordinate the third-year review as well as the promotion and tenure processes according to university guidelines and timelines.
  • Faculty, postdoc, Instructor Review Coordination: Organize and manage the faculty review process, including scheduling reviews and collecting necessary documentation. Facilitate the preparation of review reports.
  • File and Records Maintenance: Oversee the maintenance of files and records for the department. Implement data management systems to maintain and retrieve essential documents efficiently.
  • Space Management: Manage the allocation and scheduling of departmental spaces, including classrooms, seminar rooms, and office spaces.
  • Event Planning and Management: Organize and manage major departmental events such as seminars, conferences, award banquets, and guest lectures. Handle logistics for visiting scholars and guest speakers, including accommodations and itineraries.
  • Communications and Outreach: Develop and manage the department's communication strategies, including overseeing the content for social media, websites, and newsletters. Coordinate public relations activities to enhance the department's visibility.
  • Position may supervise staff

  • High school diploma or equivalent
  • 5 years of experience in business administrative and office practices, including administrative support services.
  • Increasing levels of responsibility and independent judgement and discretion having been exercised.

    Auburn University was established in 1856 as the East Alabama Male College, 20 years after the city of Auburn's founding. In 1872, under the Morrill Act, the school became the first land-grant college in the South and was renamed the Agricultural and Mechanical College of Alabama. In 1899 the name again was changed, to the Alabama Polytechnic Institute. Finally, in 1960 the name of the school was changed to Auburn University, a title more in keeping with its location, and expressing the varied academic programs and larger curriculum of a major university.

    Today, Auburn is one of the few universities to carry the torch as a land, sea and space grant university. Our fall 2014 semester enrollment was 25,912. Our students can choose from more than 140 degree options in 13 schools and colleges at the undergraduate, graduate and professional levels.
