Advancement Records Analyst | Hamilton College - Military Veterans

Reporting to the Director, Gift Administration & Records Management and working with the Advancement Information System's team, the Advancement Records Analyst provides knowledgeable support of data entry and management for Advancement on the ascend Salesforce platform. The Analyst is proficient in all record entry practices and has the technical skills to leverage reports and list views in the system. The Analyst will work closely with the Advancement Analytics team to develop validation reports and dashboards and will provide quality control and maintenance of underlying data. This role will support the Director, Gift Administration & Records Management in reviewing data management processes and make recommendations for validation rules, automation and flows, and other quality control practices. The Analyst will be the primary data entry administrator for online gifts (made through GiveCampus, Stripe, Hamilton Make-a-Gift), functions as the lead coordinator, and will work in partnership with the Director, Gift Administration & Records Management and the Advancement Analytics team to produce data to support the Engagement, Events & Promotion team with mass communication and donor relations projects. This is an exempt position with a pay range of $58,490 - $62,000. Responsibilities Data Entry and Records Management Assist in accurately maintaining demographic records for alumni, parents and friends of the College Assist in accurately maintaining a variety of data sets for the Advancement Office, such as demographic and employment data Assist in gift and pledge entry and making gift adjustments Assist in printing and mailing gift receipts and acknowledgements Execute and verify data cleanup projects Assist the Director, Gift Administration & Records Management as needed on Business Office reconciliation projects and other Business Office data requests. Work with Business Office colleagues as needed. Reports, Lists and Ad Hoc Data Requests Uses Advancement Analytics lightning and CRMA reports to support lists and ad hoc data requests Utilize Salesforce training modules and the Advancement Analytics team to learn to create, edit, and update reports Communications Management Determine and document best practices and procedures for mass communications to Hamilton constituents; make decisions about criteria for special mailings and programs Serve as Advancement Information System's primary liaison to Engagement, Events & Promotion's team to coordinate and ensure timely and accurate communications Provide independent consulting, training, data selection and validation for mass mailings from the Advancement Office Design and implement acknowledgement and reminder plans for all pledges, based on donor payment schedules and overall commitments Coordinate annual suite of gift acknowledgements for all gifts to the college: letters, calls, and email messages from appropriate college representative Partner with Advancement Analytics and the Engagement, Events & Promotion team to develop automated processes to generate communications and donor relations documents and reduce manual workload Support Specialized Donor Stewardship Programs Work with Donor Relations, especially the Senior Associate Director, Advancement Promotion Strategy, and other departments to ensure accurate endowed fund systems and donor recognition management as well as timely reporting to donors (scholarship, financial, student awards, etc.) Regularly report to other campus offices as gifts are received that support their programs Project Management Manage departmental email for Advancement Services and respond in a timely manner with professional customer service to data update requests from within the Advancement Office and other campus colleagues Directly and independently manage larger projects as assigned Manage student interns to include recruiting, hiring, scheduling, training and supervising
