Business Office Assistant (BLANK AST 3) Job Summary Business Office Assistant Under general supervision of the CAO provides support for faculty, staff and students for processing business travel arrangements and entertainment expenses as well as professional reimbursements. Monitor travel activity and ensure that travel reports and entertainment reports are processed in a timely manner and adhere to UC policy. Provide guidance to faculty, staff and students regarding travel and entertainment processes and procedures and policy. Serve as the expert regarding all travel and entertainment related issues. Provide administrative and analytical support for the recruitment process for academic positions. Provide back-up support for personnel administration and analytical support for academic, staff and student personnel for Evolution and Ecology (a vibrant teaching and research unit), two Centers with Directors, Executive Director, and Associate Directors - Center for Population Biology and the Coastal and Marine Sciences Institute - and one Grad Group Chair (Population Biology Graduate Group) - a cluster of 4 units within the College of Biological Sciences. Coordinates administrative functions and reporting for Agricultural Experiment Station projects. As requested, this position assists the CAO, department chairs, and unit directors with special projects. Further, this position exercises confidentiality and discretion with respect to the management and handling of sensitive information. Experience composing and editing documents and correspondence for accuracy, consistency of format and grammar, and professional appearance and style. Experience maintaining a high degree of discretion, integrity, and sensitivity to confidentiality and privacy using independent and mature judgement. Experience utilizing standard business software applications such as Microsoft Word, Excel, electronic Accounting and Personnel Systems. Knowledge and skill to work with personnel policies in a higher education setting or similar. Math skills to calculate salary adjustments and benefit/fee rates. Written and verbal communication skills to effectively interact with all levels of department and campus management. Preferred Qualifications Experience with AggieService and entering of cases for AUSS-C entry of payroll. Experience working with academic personnel policies and procedures, recruitment of faculty and faculty advancement. Experience and knowledge of UCPath, payroll, personnel and benefits procedures. Knowledge and experience with RECRUIT, Forms On-Line, MyInfoVault, PeopleAdmin, UCPath, TAMS, Cognos, Kuali, Banner, Student -Employment, TRS, APHID, REEPort, and Handshake. This position provides travel/entertainment reimbursements, academic personnel, payroll and general support for the units listed. The cluster support includes undergraduate and graduate instruction, research laboratories, animal care, greenhouses, foreign and domestic research field sites, Bodega Marine Lab, two recharge units, and is located in multiple buildings on and off campus. Employees include: 28 regular faculty (including one joint appt with SOM) Chair, Vice-Chair, Directors, Assoc Directors 6 emeritus faculty 2 Lecturer Security of Employment 24 Career Staff 21 Postdocs Junior Specialists Unit 18 Lecturers Federation personnel including: Project Scientists 3 Academic Coordinators 90 Grad Students (TAs, Readers, GSRs, Fellowships 25 Undergrads (student assistant titles) Centers include 45 faculty in CPB/PBGG and 100 affiliates in CMSI, from every college on the UCD campus.
