Job Description Administrative Assistant to the Dean, Lynch School of Education and Human Development Under thedirection of the Dean of the Lynch School of Education and Human Development,the Administrative Assistant to the Dean provides advanced-level administrativesupport by performing complex, varied, and confidential administrativefunctions that support the Lynch School's strategic priorities, the smooth andefficient functioning of the Dean's office, and the effectiveness of the Deanas he manages multiple tasks on behalf of the school and the university. TheAdministrative Assistant to the Dean will be a collaborative presence in theDean's Office. This role requires a proactive, organized, and detail-orientedindividual who can manage multiple tasks with professionalism and discretion.He/she must have exemplary time management skills and the ability to identifyand anticipate the Dean's needs - not just to perform assigned tasks, but toproactively identify problems and opportunities and suggest courses of action.The role must interact collaboratively and professionally across a broad rangeof internal and external stakeholders, including senior university leadership,school faculty, staff, students, and donors who play a critical role insupporting the Dean's initiatives and the overall mission of the Lynch School. Responsibilitiesof this position include: Manage the Dean's calendar, including scheduling meetings, appointments, and events. Proactively troubleshoot and address any scheduling conflicts that arise. Serve as the point of contact for faculty, staff, students, and visitors to the Dean's office, addressing inquiries and providing assistance as needed. Oversee the day-to-day operations of the office, ensuring all administrative tasks are completed accurately and promptly. Coordinate and book complex domestic and international travel arrangements, including visa applications, hotel and flight reservations, and prepare detailed itineraries. Draft, review, and edit correspondence, reports, presentations, recommendations, meeting materials, and other documents. Organize and facilitate events hosted by the Dean, including retreats, conferences, workshops, and special events; schedule and coordinate dates and times, venues, catering, attendance, and agendas. Manage the promotion & tenure and faculty hiring processes, including attending to deadlines, anticipating tasks, coordinating with committee members, and managing relevant correspondence. Support the Dean in managing strategic initiatives and special projects, including research and benchmarking, data collection, and report preparation. Gather, enter, and/or update data to maintain departmental records and databases, as appropriate; establish and maintain files and records for the office. Process, track, and reconcile purchasing card expenses and expense reimbursements. Hire and supervise student employees. Assist with projects as needed; perform other related duties as required. Hiring Range: $26.76/hr to $33.43/hr. Pay rate commensurate with relevant experience. Requirements Bachelor's degree is required. Requires a minimum of five years of increasingly complex administrative support experience, including some experience working for a high-level administrator. Higher education experience preferred. Excellent interpersonal, written, and verbal communication skills. Demonstrated organizational skills along with the ability to prioritize tasks. Intellectual capacity to review complex materials and anticipate problems. Ability to handle competing demands in a fast-paced environment. Possess a high degree of discretion, judgment, and diplomacy. Efficiency, attention to detail, and analytical skills. Ability to organize, handle, and secure confidential records and confidential data. Ability to learn and work with office-specific technology and software. Proficiency in Microsoft Office and Google Suite.
