Under the general supervision of the Accounts Payable Manager, the Accounts Payable Specialist is responsible for providing financial and administrative support to ensure effective, efficient and accurate financial and administrative operations.

Essential duties include but are not limited to:
Systems (50%)
Review expense reports (expense card transactions and reimbursements) for accuracy, completion and verify compliance with financial policies and procedures in Workday.
Enter invoices as assigned by Accounts Payable Manager in Workday.
Prepare system checks and ACH payments (as back-up to Accounts Payable Manager) in Workday and bank.
Prepare and process wires in bank software.
Assist with year-end closing.
Reporting (25%)
Prepare shipping invoices/bills (Federal Express, UPS, etc.) for payment processing.
Run weekly reports to follow-up on incomplete expense reports.
Assist with 1099-NEC reporting and processing.
Prepare manual checks (when required).
Administrative (25%)
Answering supplier and employee inquiries via phone and email.
Follow-up with suppliers for missing invoices.
Maintaining accounts payable policies.
Other related duties as assigned.
Minimum Qualifications:
Education
Bachelors degree or equivalent to graduation from a four (4) year college or university in a job-related field.
Additional experience in a job-related field may be substituted for up to two (2) years of the required education, on a year-for-year basis.
Experience
Minimum 1-3 years of accounts payable or general accounting experience.
Knowledge of Workday accounts payable/expense module.
Competencies/Skills:
Proficient with Microsoft Office products (Outlook, Excel, Word, PowerPoint)
Proficient with Adobe Acrobat Pro
10-key by touch
Efficient and accurate data entry
Strong math skills, working knowledge of accounting and financial processes
Strong organizational and time management skills
Excellent interpersonal and communication skills in person, via email, phone and Teams chat to campus community and public, including active listening, speaking and writing
Ability to interact with diverse student and staff population
Ability to work independently and be an effective team member
Professional business communication skills, including emailing, financial reporting and other department documentation
Project management abilities, including multitasking, prioritization and deadline management
Ensure the confidentiality and security of all financial files/documents
High ethical and professional standards.
Soka University of America offers excellent benefits. Salary range for this position is $47,000 to $52,000 and will be commensurate with qualifications and experience.
Employment is contingent upon the completion of a successful background check.
