Clinical Education Manager, Master of Science in Physician Associate Studies Program Job Posting Title: Clinical Education Manager, Master of Science in Physician Associate Studies Program Job Description: Overview: The Clinical Education Manager performs a variety of functions to assist the Master of Physician Associate Studies (MSPA) Program with academic and administrative management essential to the clinical phase of the program. The position is a vital member of the clinical team, working with faculty, staff, students, preceptors, and clinical sites to develop and maintain highly effective clinical training of MSPA students. The ideal candidate is energetic, detail-oriented, motivated, and proactive. The Clinical Education Manager will report to the MSPA Program Director and work collaboratively with the Director of Clinical Education to support the clinical phase of the MSPA program in complying with the ARC-PA Standards. Education and Experience: The successful candidate will possess a minimum of a Bachelor's Degree with a minimum of two years' experience in office or patient care administrative work. Experience within higher education or medical office management is preferred. The ideal candidate must be able to proofread and edit written documents, effectively communicate in oral and written format, and efficiently plan, organize, prioritize, and execute multiple and continuing assignments with minimal direction. The position will function as a primary contact for students and clinical sites, with the ideal candidate excelling in effectively addressing student and preceptor concerns in collaboration with the Director of Clinical Education. Flexibility and the ability to function in a dynamic team environment is essential. Essential Functions and Responsibilities : Individuals must possess knowledge, skills, and abilities to successfully perform the essential function of the position or be able to explain or demonstrate how the essential functions may be performed, with or without reasonable accommodations, using some other combination of skills and abilities. Work in collaboration with clinical faculty to implement, coordinate, evaluate, and manage the clinical phase of the MSPA program in compliance with the ARC-PA Standards; Serve as the primary lead on the clinical team MSPA clinical site and preceptor contract management; Manage clinical year technology platforms (e.g., clinical site/preceptor management programs, clinical site portals, board review question banks, end-of-rotation examinations); Develop and maintain standardized operating procedures for administrative responsibilities relative to the clinical phase of the program; Maintain the MSPA Clinical Policy Manual in collaboration with the Director of Clinical Education, ensuring accuracy in areas that overlap with the KGI Student Handbook and MSPA Program Student Handbook; Provide administrative support to the MSPA clinical team by scheduling meetings, maintaining clinical team meeting minutes, and reserving spaces for end-of-rotation activities. Participate in the initial evaluation of potential clinical preceptors and sites to support the quality, safety, and sufficiency of supervised clinical practice experiences (SCPEs); Support the Director of Clinical Education with administrative tasks related to clinical site development and outreach to potential preceptors and medical facilities, which may include travel to clinical sites during work hours; Serve as lead contact for resolving administrative issues between MSPA clinical phase students and preceptors related to clinical rotations; Develop and maintain the clinical course schedule in collaboration with the Director of Clinical Education; Monitor clinical phase evaluations by clinical preceptors and students to facilitate their timely completion; Facilitate and participate in clinical site evaluations; Respond to emergent student needs via the shared clinical team contact number during work hours; Maintain all clinical site and preceptor paperwork accurately; Support MSPA budget management through the maintenance of an accurate and ongoing record of clinical site and preceptor payments; Work with the MSPA Program Director and the Director of Clinical Education to prepare the clinical phase budget for each academic year; Monitor student compliance for health requirements before and throughout the clinical phase in collaboration with the Director of Clinical Education and the MSPA Program Director; Manage the clinical section of the ARC-PA portal; Develop and maintain processes for clinical rotation site and preceptor information distribution to students; Facilitate the scheduling, distribution, proctoring, and grading of end-of-rotation examinations for clinical phase students; Organize and schedule clinical student practical examinations (e.g., OSCEs, summative evaluation); Distribute and collect clinical phase surveys to students and preceptors under the direction of the Director of Clinical Education; Provide administrative support for the MSPA program with maintenance of accreditation (e.g., ARC-PA, WASC); Participate in ongoing programmatic evaluation; Assist in the preparation of internal and external reports and presentations as requested; Prepare routine correspondence, including letters, e-mail, and reports for the Director of Clinical Education and the MSPA Program Director. Assist with admissions activities as needed (e.g., student recruitment and selection); Serve as the MSPA program representative to the School of Pharmacy and Health Sciences Experiential Education Committee; Facilitate interdepartmental collaboration for clinical site development and maintenance with other programs in the School of Pharmacy and Health Sciences and the Henry E. Riggs School of Applied Life Sciences; Assist with student affairs, assessment, classroom scheduling, exam proctoring, or other School of Pharmacy and Health Sciences activities as needed. Perform other duties as determined by the MSPA Program Director and/or the Dean of the School of Pharmacy and Health Sciences. Other duties as assigned. Demonstrated advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). A basic understanding of medical terminology and processes or the commitment to learn. Experience in preparing for meetings, organizing and producing complex documentation, and creating presentations with visual aid and graphics. Ability to diplomatically handle complex situations involving competing interests and priorities during periods of high volume. Excellent organizational and time management skills. Demonstrated ability to manage multiple tasks simultaneously and adapt to changing priorities. Demonstrated outstanding oral and written communication skills. Must exercise discretion and manage confidential records and information. Ability to exercise tact and judgment and have a positive, professional attitude towards management, staff, students, preceptors, board members, and visitors. Strong attention to detail and accuracy. Ability to respond to routine inquiries and exercise discretion in knowing to whom and how to route incoming inquiries. Skill in managing multiple simultaneous tasks and independently responding to phone and e-mail inquiries. Experience working with a diverse campus community and possess a commitment to equity and inclusion. A valid driver's license or equivalent means of reliable transportation to off-site meetings and events is required. Hours, Classification, and Status: This is a regular, full-time, benefits-eligible, exempt position. The regular hours of this position are Monday through Friday, 8:00 a.m. to 5:00 p.m. Hours may vary due to the needs of the College or department. Salary range: $68,000 - $74,000 annualized. The salary of the finalist(s) selected for this role will be set based on various factors, including, but not limited to, internal equity, experience, education, specialty, and training.
