Production Administrative Assistant - Military Veterans

POSITION SUMMARY: 


This position serves as an essential resource assisting in the daily department operations. Assists in day-to-day department operations, including, but not limited to, performing administrative duties and ensuring that established organizational and departmental guidelines, procedures, and regulations are followed to maintain efficient office operations. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. SUPERVISION RECEIVED AND EXERCISED: 


Receives direct supervision from the Production Manager and indirect supervision from the Operations Director.  This position does not supervise any other position. 


 




DUTIES AND RESPONSIBILITIES: 



  • Work with management to coordinate the workload for the week based on the shipping schedule.

  • Prepare information to report the availability/status of products at weekly shipping meeting.

  • Arrange meetings with supervisors to discuss the goals for the week.

  • Collect material requirements for production and place requests to the different departments (purchasing, stock room, materials lab, and electronics departments).

  • Track all replacement part orders for the department and organize them by priority.

  • Track weekly productivity by providing manufacturing information, compiling and sorting production performance records and workgroup data.

  • Work with management to develop a system to track productivity per individual.

  • Assist managers in organizing work areas.

  • Administrative tasks such as weekly timesheets, absence reports, reports of open sales orders, and keeping records of products.

  • Communicate updates to other departments. 

  • Other duties as assigned.



 


QUALIFICATIONS/REQUIREMENTS: 



  • Some college education preferred; High School diploma required.

  • Computer skills (MS Office); ERP system experience a plus.

  • Minimum of 2 years of Customer Service or office administration experience.

  • Ability to communicate (read and write) effectively in a business environment.

  • Excellent organizational and communication skills (both written and verbal).

  • Must be able to communicate effectively in English and Spanish is required.

  • Ability to establish and maintain effective working relationships with customers and fellow employees.





PHYSICAL/MENTAL REQUIREMENTS: 



  • The ability to respond to common inquiries relating to the areas of service assigned.

  • While performing the duties of this job, the employee is regularly required to use his fingers.  

  • The employee may be required to frequently alternate between sitting and standing for short to prolonged periods of time.

  • The employee frequently is required to talk and/or hear, including the use of telephones and cellular devices.  

  • The employee must occasionally lift, push, pull and/or carry up to 30 pounds.  

  • Must be able to hear and distinguish sounds such as machinery, telephones, and alarms.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus with or without reasonable accommodation.

  • Ability to exercise sound judgment in prioritizing projects delegated by the supervisor. 

  • Physical presence in the office required to perform job duties.

Hours: Monday to Friday 8:00 AM to 4:30 PM must be willing and able to work some Saturdays or stay beyond scheduled shift if needed to meet business demands.
