The Opportunity

We are seeking a Marketing & Communications Coordinator to join our Chicago office. Within this position you will be responsible for assisting with logistics for Chicago and Houston office marketing and business development events, providing assistance in the preparation of new business proposals, RFPs, presentations and event coordination, assisting with awards and rankings submissions and providing general administrative support to the Marketing & Communications Department.

As a Marketing & Communications Coordinator you will:


  • Assist with logistics related to firm-sponsored seminars and webinars including coordinating the design and approval of invitations, development of targeted mailing lists, coordinating production and distribution of presentation materials, overseeing professional staff participation at events or virtually on a webinar platform, coordinating with external speakers, coordinating requests for CLE credit and other firm-sponsored events. Prepare internal communications on events for distribution and maintain various tracking databases associated with event production.

  • Assist with preparation of new business proposals, RFPs and presentations, including the preparing of experience lists and sourcing attorney experience, formatting drafts of materials, proofreading, and the production and distribution of materials.

  • Research, maintain and track practice, attorney and deal information needed to respond to various directories and surveys ( i.e., Chambers USA, Legal 500, Best Lawyers ); prepare and format draft submissions for partner review; assist in scheduling interviews with researcher.

  • Liaise with other internal support departments (Client Accounting, Business Development, Human Resources, Attorney Development and Recruiting, Diversity, Equity & Inclusion, Research & Knowledge Services and Technology) to obtain client relationship data for new business proposals and presentations and firm data for responses to surveys and ranking lists, as needed.

  • Coordinate client-facing educational and social events (seminars, webcasts and conferences, receptions, dinners, etc.); plan, execute and monitor all event logistics (venue, services, invitations, printed materials, etc.) and attend events as needed. Prepare internal event-related communications and maintain various tracking databases associated with event production.

  • Assist with monitoring and compiling media sweeps on various topics and companies.

  • Liaise with Global Marketing & Communications Department regarding maintenance of attorney biographies, practice area descriptions, attorney photographs, client mailing lists and website updates.

  • Utilize Microsoft PowerPoint, Word, Excel, Adobe InDesign, Intrado, Foundation and other software tools to develop collateral materials and marketing presentations; liaise with Design team on sponsorship advertisements.

  • Provide administrative support including, but not limited to, coordinating the tracking and reporting on marketing, business development and public relations activities; and coordinate periodic attorney photo shoots.

  • Demonstrate effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.

  • Manage firm resources responsibly.

  • Regular and reliable physical presence.

  • Comply with and understands firm operations, policies and procedures.

  • Perform frequent physical exertion including: sitting, repetitive use of both hands, lifting and carrying up to 10 pounds.

  • Perform other related duties as assigned.


Qualifications:

  • Current knowledge of industry best practices, trends and techniques

  • Knowledge of relevant firm computer software (e.g., Outlook, Excel, PowerPoint) with the ability to learn new software and operating systems

  • Demonstrates effective interpersonal and communication skills, both verbally and in writing

  • Demonstrates close attention to detail

  • Ability to handle multiple projects and shifting priorities

  • Ability to handle sensitive matters and maintain confidentiality

  • Ability to organize and prioritize work. Excellent organizational and planning skills

  • Ability to work well in a demanding and fast-paced environment

  • Ability to work well independently as well as effectively within a team

  • Strong attention to detail and proofreading skills

  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs


Experience and Education:

  • High school diploma or equivalent

  • Minimum of two years' directly related experience in a professional services environment
