The expected annual salary range for this role is $52499.97 - $76999.96 a year.

What you’ll do:






Eaton’s eMobility Group is currently seeking an Administrative Assistant to join our dynamic team. This position is based at the Beachwood, OH facility.

This Administrative Assistant role will be responsible for providing administrative, project, and logistical support for three (3) senior leadership team members and some remote support of administrative tasks for geographically dispersed locations.  This role handles multiple urgent priorities efficiently, effectively, and with the utmost concern for confidentiality.  


 


Essential Functions:
•    Manage calendars for leadership team members by scheduling meetings, resolving overlaps and/or conflicts in accordance with the leader’s preferences and guidance
•    Manage the coordination of meetings (both in person and remote) for small and large global meetings ensuring physical infrastructure or digital processes are ready to go.  This will also include small and large event planning and execution which could include coordination for visiting senior management and customers.  
•    Partner with/cover for other assistants with meeting preparation and execution depending on location, vacation schedules, etc.
•    Coordinate domestic and global travel arrangements and planning logistics, including processing of visas and passports as needed. Ensure smooth travel organization, itineraries provided, details coordinated (meals, preferred seats on planes, etc.)
•    Utilize technology and software programs to collaborate with leaders and teams to create, update, and edit materials for meetings, programs, and other events
• Partner with other eMobility team members to coordinate All Hands and other remote broadcast meetings including running technology, creating supporting presentations, organizing preparatory meetings, etc.
•    Provide administrative and technology support effectively utilizing the current version of Microsoft Office and other project software packages. 
•    Support key initiatives including strategic planning, profit plan, organizational capability assessment and special projects. Provide administrative support in confidential and sensitive situations.
•    Prepare monthly reports, expense reports, presentations and processing of invoices utilizing Eaton’s internal systems and tools. Coordinate monthly reports including data collection, formatting, preliminary analysis, and preparation of recommendations. Organization of files and retrieve documentation (electronic and hard copy) in compliance with legal and regulatory requirements, Eaton’s policies, and business needs.
•    Provide world class administrative support while remaining flexible to allow for changing priorities and timelines
•    Coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external stakeholders
•    Support meeting coordination and occasional related travel arrangements for extended team members, as needed
•    Ad hoc administrative support as needed
•    Comply with the policies, procedures, and expectations outlined by Eaton’s Management System for the Environment, Safety, Security, and Health (MESH) and Quality Management Systems.    
 






Qualifications:






 Basic Qualifications:


• Associate's degree from an accredited institution.
• Minimum 1+ years of experience providing administrative, project, and scheduling support for senior leadership team members.
• Previous experience managing calendars for leadership team members by scheduling meetings, travel ( domestic/ international), resolving overlaps and/or conflicts in accordance with the leader’s preferences and guidance.
• Significant experience utilizing Microsoft Office and other project/ presentation/Social Media/email software. 
• Must be legally authorized to work in the United States without company sponsorship both now and in the future.
• No relocation benefit is being offered for this role. All candidates considered must live within 50 miles of Beachwood, OH  facility. Active- Duty Military Service member candidates are exempt from the geographical area limitation.


 


  Preferred Qualifications:


•  Bachelor’s degree from an accredited institution.
•  3+ years of experience providing administrative support. 
•  Previous experience scheduling international travel including processing/ handling of visas and passports as needed for same travel.  
•  Previous experience working within a large global corporate culture
.
•  Management /coordination of meetings (both in person and remote) for small and large global meetings.  
•  Experience working with SharePoint.
•  Experience analyzing business data and creating business reports and presentation material.
•  Excellent customer service and problem-solving skills.
•  Highly organized and have strong time management skills.
•  Excellent English communications (verbal/written) skills. 
•  Ability to prioritize and juggle multiple assignments concurrently.
•  Agile and willing to adopt and master recent technology and software packages.
•  Diligence and urgency in completing tasks accurately and efficiently.
•  Strong people skills and ability to communicate with tact and professionalism to all levels of the organization and across a culturally diverse population. 
•  Ability to remain calm and flexible when facing changing priorities and timelines.
•  Comfortable working independently and seeking support and additional information as needed.
•  Desire to work in a fast-paced, ever-changing environment.
