The Department of Computer Science and Engineering is seeking a dedicated and detail-oriented Graduate Student Affairs Coordinator to support our diverse and dynamic graduate programs, including the Computer Science PhD, Computer Science MS, Computer Engineering MS, Robotics MS, and Computational Data Science MS. Under the direct supervision of the Graduate Student Services Supervisor, this position plays a vital role in advising students and faculty on academic policies, procedures, and degree requirements. The role also involves coordinating key departmental events, assisting with graduate admissions and recruitment, and managing the annual updates of program materials. The ideal candidate will be proactive, organized, and capable of fostering a supportive academic environment. The full salary range for the Graduate Student Affairs Coordinator is $24.71 - $41.67 per hour. However, the expected pay scale for this position is up to $31.13 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Department Custom Scope Under the direct supervision of the Graduate Student Services Supervisor, the incumbent has primary responsibility for providing service to current and prospective students and faculty within the Department of Computer Science and Engineering. The position provides support to advisors who are responsible for five graduate degree programs: Computer Science PhD, Computer Science MS, Computer Engineering MS, Robotics MS and Computational Data Science MS. This position advises students, faculty, and the public on university, campus, and departmental requirements, policies, and procedures for the Computer Science and Engineering BS+MS major and advises students in all other CSE graduate programs as back up to the Graduate Affairs team wherever and whenever necessary. The incumbent will be responsible for coordinating events such as department colloquia, the open house for incoming graduate students, information sessions and the prospective student visit to campus. Assist with gathering and submitting the necessary changes for graduate-level courses and the annual revision to our Program Statements for all programs. Assists with student enrollment on a quarterly basis in all programs. Provides admissions assistance for approximately 1,500 graduate student applications in all programs on a yearly basis and creates necessary recruitment materials. Keeps track of student employment after graduation. Initiates, tracks, and follows up on the yearly review of the Graduate Student Handbooks for all degree programs. Maintains communications by monitoring the central grad info email account, sending out announcements for dissertation defenses, colloquia, and the distinguished lecture series. Key Responsibilities: Academic Advising: Provides advice and assistance to students on academic and degree progress and major requirements; assists students in determining a major, alternative academic options, resolve scheduling conflicts, and similar issues. Advises students, faculty, and the public on university, campus, and departmental requirements, policies, and procedures for the Computer Science and Engineering BS+MS major and advises students in all other CSE graduate programs as back up to the Graduate Affairs team wherever and whenever necessary. Advise students on required courses for timely degree completion, and recommend action for students with lack of academic progress and grade issues. Assist Faculty Graduate Advisor with annual graduate student reviews. Identifies the need for exceptions to policy and prepares necessary documents to request such exceptions. Assist and advise students and faculty with interpreting Graduate Division policies, procedures, and recommendations. Assists with student enrollment on a quarterly basis. 20% Recruitment and Admissions: Implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; reviews domestic transcripts for degree eligibility; initiates and arranges student recruitment visits. Process applications for the Computer Science and Engineering Department, correspond with prospective applicants, develop recruitment materials (i.e. announcements, flyers, posters, etc), represent the college and department in outreach events. Work closely with the Graduate Advisors and Faculty Advisors of all programs, and help with admission offers. Maintain communications with new incoming students prior to arriving in the program. 20% Applies professional student services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization. Assist with ABET and graduate program reviews and maintain program websites on an ongoing basis. 10% Events: Coordinates and implements non-complex student events and assists in the planning and implementation of complex events. Coordinates, schedules, advertises and prepares content for all CSE Graduate Students Affairs events, such as new student orientation, information sessions and prospective student visits. 10% Compiles and submits materials for new graduate level courses and graduate level course changes to be approved by the Committee on Courses. Compiles and submits requests for edits to program statements/general catalog on an annual basis. 10% Initiates, tracks and follows up on the yearly revision of the Graduate Student Handbook for all degree programs in the department. Ensures that the handbook sets forth the requirements for the M.S. and Ph.D. programs and provides information and guidelines to assist students in meeting the requirements for their degree program. 10% Student Conduct: Provides information to students and faculty regarding organization policies and procedures on student conduct. 5% Provides basic information about moderately complex student immigration and visa processes to international students and scholars.
