Graduate Student Affairs Officer 3 Job ID: Location: Main Campus - UCR Schedule: 8AM - 5PM Category: Student Affairs and Advising Salary: $56,000 - $96,400 Full/Part Time: Full-time(100%) Organization: College of Humanities Arts & Social Sciences Department: History Dept Application Deadline: Open Until Filled Position Information: This position serves as the Graduate Student Affairs Officer for the Department of History under the general direction of the History department manager, Faculty Graduate Student Advisor, and Department Chair, carries out curriculum advising; graduate admissions; recruitment and outreach; student enrichment and academic development activities; matriculation and graduation degree checks; and program reporting and evaluation. Responsible for interpretation and implementation of appropriate policies, regulations, and procedures. Working closely with the Department Chair, Vice Chair/TA Coordinator, Faculty Grad Advisor, and Faculty Grad Financial Officer and faculty to develop short-term and long-term goals to meet the advising needs of the growing number of graduate students, identify emerging student affairs and programmatic issues, and make recommendations for positive outcomes. The major functional areas of responsibility include: 1) Advising and Administration of Continuing Graduate Students; 2) Admissions; 3) Recruitment and Outreach; 4) Financial Support; and 5) Program Development and Management. Must be able to maintain confidentiality and maintain fairness in administering standards and procedures for the programs. Advises faculty, staff and students regarding policies and procedures in all aspects of graduate student affairs. The full salary range for the Graduate Student Affairs Officer is $56,000.00 - $96,400.00 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Required Masters Degree or Higher: Preferably in a relevant field such as Business Administration, Education, Higher Education Administration, or Public Administration. Communicate thorough and detailed understanding of the components of the financial package to students, faculty, and Graduate Division. Maintain records of financial awards to students using GradESS. Manages graduate student payroll, including processing employment requests through a shared service provider. Serves as a liaison with the Graduate Division regarding ABE and Remission report updates. Analyzes and monitors ongoing student financial support packages to ensure sustainability given departmental and program resources. Works with Graduate Faculty Advisors to obtain and manage fellowship packages and spending. Coordinates quarter TA assignments and processes TA appointments through the TA online system 10% Events: Plans and implements complex, high-visibility student events, such as commencements. Develop departmental open house events, campus visits, etc., in collaboration with faculty input. Develop event calendars, taking into consideration the timing of key events and programs, the roll-out of new initiatives and the availability of resources, evaluates effectiveness and implements best practices. Develop and coordinate outreach and recruitment strategies for the department that builds on college-wide and campus-wide efforts. 10% Career Counseling: Advises department/college/school students on the job market process, and the standards and norms specific to the student's field of study; advises on summer internship programs; develops and maintains network of departments and regional firms interested in hiring summer students. Provides targeted workshops on resume building, interview techniques, and job search strategies to enhance students' competitiveness in the job market. Collaborates with alumni to create mentorship opportunities and internships that align with students' career goals. 10% Applying professional student services concepts, provides the full range of student services to student population served by the organization. Independently provide academic and programmatic advising to new and continuing graduate students to assist them under the guidance of the Graduate Advisor, in attaining educational and career goals. Meet with and counsel students at various stages to review academic progress; provide information on course and program requirements, exam requirements, advancement to candidacy; and final degree processing. 5% Student Conduct: Responsible for interpreting organization policies and advising students and faculty on student conduct, student grievances, disputes, and issues regarding discrimination. 5% Student Orientation: Oversees and may conduct orientations of new students. Develop and deliver new student orientation and advising to continuing students on matters related to degree completion, academic progress, and financial support 5% Plans, designs, and provides workshops for students, such as information about the organization, or academic strategies and enrichment programs. 5% Provides advice and assistance to students and scholars regarding complex U.S. visa and immigration procedures, compliance issues, and employment eligibility/authorization. Coordinates and implements programs and workshops to support and retain international students/scholars. Makes referrals to off campus and community resources. Collaborates with university departments to ensure seamless integration of immigration services into broader student support initiatives. Regularly updates students and scholars on changes in immigration policies, providing guidance to help them navigate evolving regulations. Conducts one-on-one consultations to address specific concerns and enhance the overall experience of international students and scholars on campus. 5% Organizes job fairs. Develops and enhances an alumni recruitment network. Identifies and cultivates potential employers. Facilitates connections between students and potential employers through career fairs tailored to their academic disciplines. 5% Other duties as assigned. Responsibilities may include but are not limited to: Overseeing the allocation and management of office assignments for Teaching Assistants and graduate students, ensuring the efficient use of office space and resources. Coordinating with the Chair and FAO to assign workstations and manage the setup and maintenance of office spaces.
