Job Type: Officer of Administration Bargaining Unit: Regular/Temporary: Regular End Date if Temporary: Hours Per Week: 35 Standard Work Schedule: Building: Salary Range: $65,000 - $72,000 The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary Reporting to the Associate Director, Facilities & Operations, the Senior Coordinator supports the day-to-day facilities functions at the School of Professional Studies (SPS). The Senior Coordinator will be responsible for timely responses to maintenance tickets and client space needs. Responsibilities Facilities Manage SPS facilities inbox. Respond to faculty and staff???s facilities inquiries quickly and efficiently. Respond to facilities issues as the need arises, including issues related to repairs, HVAC, cleaning, recycling/trash, extermination, flooding, installation, broken appliances, etc. Coordinate and track CU work orders, manage until request completion. Responsible for daily management of Zendesk work order tracking system. Serve as check-in/check-out point person for all facilities related work. Coordinate facilities efforts accordingly including managing building access including key system and swipe access, office signage (building directory, hallways, classrooms, administrative offices, keys). Manage campus storage space and work with business units to inventory materials and store them appropriately. Manages inventory of pantry and office supplies; generate par level and usage reports. Responsible for assisting SPS clients in FedEx delivery, Staples orders, and delivering items to/from SPS storage. Advocates for SPS clients for priority for Public Safety tap access request for SPS building; escalates as necessary to ensure resolution. Support moves and restacking logistics. Follow up with SPS clients to verify satisfaction for services rendered. The Facilities coordinator is required to provide coverage between two buildings Lewisohn Hall and 60th Street , as needed for vacation and sick leave and other absences. General Administrative Support to Space Management Assist FM with space planning, specifically as it relates to seating. Document floor plans with seating assignments. Facilitate internal space moves, help set-up spaces for new employees. Work with Assistant Director with outside vendors to design space layouts and order any necessary furniture. Maintain discretion and professionalism while dealing with highly confidential information. PERFORMS OTHER DUTIES AND PROJECTS AS NECESSARY. Minimum Qualifications Bachelor???s degree and/or equivalent related experience required. Minimum two years of related experience required. A resume and cover letter with salary requirements must be submitted to be considered for the position. Preferred Qualifications Client service experience. Project management experience. Familiarity with related Columbia University systems and regulations preferred. Must be able to carry items at least 10 lbs. Other Requirements Must have a strong service oriented attitude and excellent interpersonal skills. Must be well organized and have exceptional written and oral communication skills. Familiarity with computer accounting systems and PC based software packages are essential. Strong knowledge of MS Office (Word, Excel, and Visio), required. Must be able to work mainly 9-5 with some flexibility to accommodate the need for coverage.
