What will you be doing in this role? The Department Administrative Manager oversees the department/unit's day-to-day administrative activities and is responsible for all aspects of implementation of assigned projects, acting as a single point of contact: Develop plans to complete assigned projects, including identification and communication with key partners, task management, determining or recommending solutions, and managing timeliness of deliverables. Coordinate and prepare a wide range of information including data pull/validation, material compilation, presentation creation and partnering with internal resources and/or external customers/vendors on timely completion of key deliverables. Track, monitor, and follow the progress of project plans, department goals and action items as determined by department leadership. Prepares appropriate briefing materials.?? Manage meetings for major initiative sponsored by Finance, including scheduling, creating meeting agendas, drafting meeting minutes and following up on action items.?? Assist in managing department???s operational and capital budgets. Provide administrative leadership in the development of annual budget and in tracking through the course of the year. Provides information and recommendations to department leaders regarding spend vs. budget, variances, and expected adjustments. Design and carry out processes to ensure that leadership has the right financial information to set goals, make decisions, and monitor performance.?? Serve as a resource to coordinate information or data required for various internal and/or external inquiries. Support department leadership as needed by fact-finding and presenting information, with recommendations, in a manner that facilitates policy and operational decisions. Maintain Finance policies and procedures. Work with process owners to ensure policies and procedures are updated after system changes. ?? Maintain ongoing knowledge of regulatory and compliance issues related to areas of responsibility. Supervise at least two members of department administrative staff or support staff. Administer the human resources and payroll functions for the department/unit. Organize and manage all Finance vendor contracts and POs. Create requisitions, monitor invoice intake to ensure timely submission and approval, monitor open POs to ensure sufficient funds to cover remaining invoices and follow up on any payment issue with the vendors. This role is anticipated to become a hybrid position after the initial training and orientation phase has been completed.?? Qualifications Requirements: High school diploma/GED required. Bachelor's degree preferred. A minimum of 4 years of office management and administrative experience required. Why work here?
