Job Summary The Operations and Student Onboarding Assistant performs a wide range of technical and administrative duties in support of student onboarding, student data and record maintenance, and student service support within the Division of Continuing Education (DCE) Registrar's Office. Position Description Serve as a frontline resource on student onboarding processes and policies; maintain knowledge articles, help guides, and FAQs, providing updates as policies and processes evolve; assist with documenting new procedures. Troubleshoot complex student login and account creation issues, under time-sensitive conditions across multiple DCE systems; support duplicate account resolution in DCE systems; track and use knowledge of student issues to suggest system and process improvements. Perform regular and ad-hoc data maintenance in adherence to student record policies and procedures; test enhancements and new functionality for multiple student systems; maintain testing plans for routine testing. Support student ID card operations; serve as a principal source of information on ID card photo upload and overall ID card eligibility requirements; lead ID card troubleshooting throughout summer term; manage and track email correspondence; identify trends in student issues and propose solutions to address process or policy issues; prepare statistical reports and queries necessary to ensuring accuracy of ID card and access data. Provide operational support for student check-in events; facilitate set-up, supplies, and traffic design for ID card distribution and registration check-in stations; manage late check-in services throughout the summer term; liaise with other DCE and Harvard departments regarding additional event processes, procedures, and support as needed. Provide editing and proofing support for a variety of handbook, website, training, and other content. Cross-train with other Registrar's Office teams to provide office support and coverage for general student services; provide additional support for office projects as needed. Basic Qualifications Three or more years of experience working in an administrative, student services, or operations setting. Education beyond high school may count towards experience. Additional Qualifications and Skills Bachelor's degree and experience working in a university setting preferred. Experience with student information systems and data processing along with an aptitude for learning new systems and end-user software. Accuracy and attention to detail; strong organization skills and ability to meet deadlines; enthusiasm and flexibility in accepting new assignments and adapting to shifting priorities. Strong customer service orientation; demonstrable proficiency with oral and written communication skills used for communicating accurately and professionally with many constituents. Ability to work well under pressure and with diverse populations; experience assisting large volume of students, handling complex and confidential information with discretion, and supporting projects or events. Ability to establish and promote collaborative working relationships Ability to work independently with minimal supervision. Physical Requirements Some lifting (10-20 lbs) may be necessary for summer event setup. Working Conditions Some evening, weekend, and overtime work required, including summer term check-in weekends.
