Position Summary:


We have an exciting opportunity to join our team as a Program Associate.

 
Under direct supervision, provides administrative support for activities related to departmental education programs, fellowship programs and departmental fellowship program leadership. Assists with the daily operations of the fellowship programs and with the yearly recruitment, onboarding, and graduation seasons.

Job Responsibilities:


    • Assists the Departmental Education programs, fellowship programs and fellowship program leadership as directed/needed.

    • Assists fellowship programs with the recruitment process, onboarding, and graduation events

    • Works with GME related software (ERAS, Thalamus, New Innovations, etc)

    • Maintains knowledge of ACGME requirements for the administration of fellowship training programs.

    • Schedules meetings, interviews, creates itineraries, and handles logistics for interview days, Education and CME related events, receptions, and meetings

    • Assists in activities such as data entry, time keeping and distribution of documents. Prepares, submits and tracks travel reimbursement requests for fellowship program.

    • Assists with ordering, troubleshooting, and setting up catering for fellowship lectures and events. Creates Pos, IOIs, and tracks catering payments.

    • Assists with prepping for lectures by tracking and collecting presentation materials and ensures rooms are set-up room for lectures for various programs.

    • Attends events such as graduation or division events to help with check-in, set-up and also helps with logistics.

    • Attends fellowship program meetings as directed to stay informed of institutional requirements for assisting in the administration of fellowship training programs.

    • Maintains fellowship documentation/records and files appropriately.

    • Assists in the preparation of letters of recommendation/verification of employment/training for house staff.

    • Word Processing/Typing Prepares and proofreads memos, reports and applications. Independently prepares responses to routine correspondence. Develops documents for presentation or meeting.

    • Distributes correspondence, agendas, reports and schedules (noon conference, master conference schedule, call schedule etc).

    • Maintains fellowship program information in appropriate systems (ex - New Innovations)

    • Triages all communication (phone, mail, email, and fax) and initiates appropriate action on all inquiries when needed for the fellowship program and fellowship program leadership.

    • Performs and participates in other job related duties as required.

 

Minimum Qualifications:


To qualify you must have a Bachelor's Degree is required. Minimum of 1 year of related experience in an office setting or the equivalent combination of education and experience. Effective Oral, written communication and interpersonal skills. Computer Skills -Working knowledge of Microsoft Office Word, Excel, Power point and Access. Ability to develop basic formulae for spreadsheets; set up routine computer procedures; Ability to access e-mail, electronic calendars, and other basic office support software. Ability to proofread documents and write clear, concise 1st draft. Ability to type at a speed of at least 45 net words per minutes. Knowledge of standard office practices. Ability to multi-task while paying attention to details. Ability to use standard office equipment such as copy machines and fax machines.

Preferred Qualifications:


UME or GME experience

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $41,977.18 - $53,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
