CUNY Administrative Assistant Level 1 - Hospitality Management GENERAL DUTIES This position has responsibility for the operation of a major administrative College activity, or difficult administrative and secretarial work in an office with College-wide responsibilities, or in an unusually complex academic department. May perform duties described under the lower title, CUNY Office Assistant (04802). Persons in this position are accountable for rendering quality services in a respectful, courteous and professional manner. In the University's multicultural environment, incumbents provide consistent assistance to everyone. A CUNY Administrative Assistant position will be assigned to either Level 1 or Level 2. A position assigned to Level 1, with wide latitude for the exercise of independent initiative and judgment, performs office or secretarial work in various units, following relevant departmental, College, and University procedures. A position assigned to Level 2, with wide latitude for the exercise of independent initiative and judgment, performs very complex administrative or supervisory work; may work with other College units to complete significant administrative functions (e.g., payroll, facilities, personnel, budget, records, security, etc.). The Department of Hospitality Management in City Tech is recognized internationally as the premier hospitality management program of CUNY. The department is accredited by the Accreditation Commission for Programs in Hospitality Administration (ACPHA) and offers both associate and bachelor???s degrees. The mission of the hospitality management department of New York City College of Technology is to provide students with a hospitality career education that integrates applied management practices and theory with liberal arts and sciences. The department also provides learning opportunities to students through the Janet Lefler Dining Room, a specialized learning lab. Reporting to the Chair of the Department of Hospitality Management, the CUNY Administrative Assistant in Hospitality Management is accountable for rendering quality services in a respectful, courteous and professional manner. In addition to the General Duties, the Administrative Assistant will: Manage the administrative office of the Department of Hospitality Management. Develop and maintain efficient office procedures and methods, and train employees in their use, especially but not limited to the management of the Janet Lefler Dining Room. Manage individual and group reservations associated with the Janet Lefler Dining Room. Interpret and apply operating procedures, rules and regulations within the Department of Hospitality Management and the Janet Lefler Dining Room. Conduct job interviews to select College Assistants (CA) and Federal Work Study (FWS) students. Supervise CA and FWS students. Supervise and coordinate the work associated with special events such as graduation celebrations, fundraisers, and alumni outreach with faculty members using current technology and communication systems. Coordinate the work of others for program activities and events, including registration, room arrangements, travel, fee collection, purchases, study/work abroad programs. Oversee the compilation, storage, and disposition of financial records, student records, and personnel records of the department in accordance with CUNY???s record retention policy. Communicate with staff and administrators throughout the College, University, and the community to resolve problems, particularly as it relates to the Janet Lefler Dining Room, internships, and the study/work abroad programs. Communicate with students, staff, faculty, and the community regarding job postings. MINIMUM QUALIFICATIONS Proof of meeting qualification requirements is needed before the close of a Civil Service Examination filing period. Permanent status as a CUNY Office Assistant at Assignment Level 1 (Pay Level 3) or Assignment Level 2 (Pay Level 4). Candidates who meet the above requirements must also meet requirements 2 and 4 after the close of the filing period. Candidates must take and pass a job-related Civil Service Examination that measures critical competencies for the position. Candidates must undergo a background check, including a fingerprint screening and a verification of their education and work history. Candidates must demonstrate technical competence in using job-related software (e.g., word processing or other). OTHER QUALIFICATIONS * OPEN ONLY TO CURRENT CUNY EMPLOYEES WITH PERMANENT STATUS AS CUNY OFFICE ASSISTANT III OR IV, OR CUNY ADMINISTRATIVE ASSISTANT * The following knowledge, skills, and abilities are preferred: Bachelor???s degree is not required, but is preferred. Ability to work both independently and in group settings. Proficiency in Microsoft Office Suite, specifically Excel and Word. Knowledge of Microsoft 365, Outlook and Forms. Strong oral, written, and interpersonal communication skills. Effective writing, editing, proofreading, and presentation skills. Knowledge of CUNY's academic and administrative processes and systems. Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff and community members. Experience using CUNYfirst (PeopleSoft) is a plus. Ability to communicate in languages other than English is a plus. COMPENSATION $49,155 BENEFITS CUNY offers a comprehensive benefits package to employees and eligible dependents based on job title and classification. Employees are also offered pension and Tax-Deferred Savings Plans. Part-time employees must meet a weekly or semester work hour criteria to be eligible for health benefits. Health benefits are also extended to retirees who meet the eligibility criteria.
