Job Overview

The Program Coordinator of Campus Recreation will have primary oversight for coordinating internal and external human resource functions for full and part-time staff including compliance with HR policies, rules and regulations. This position will provide direct supervision of the front office student staff and work with staff to enhance the student experience through the organization, enhancement and facilitation of the department's various engagement programs and events.

The Program Coordinator assists with financial related functions for the department including budget review, appropriate coding and approval for expenditures and revenue, purchasing through PACE/Pcard, and travel and expense reporting through Concur. Additionally, this position will coordinate and track department IT requests, hardware and software needs. An important component of this position is a demonstrated student and customer focused approach and the ability to work autonomously, collaboratively, and with initiative.

This position includes the ability for a hybrid work schedule with up to 20% work from home option. In accordance with UC policy, this option is subject to change.

Essential Functions

  • Serve as primary liaison with Central HR for a department comprised of 18+ full-time and 400+ part-time (i.e., student, adjunct, contractor, work study, and international) staff.
  • Coordinate and process part-time staff paperwork for hiring, separating, processing pay rate increases, facilitating work study eligibility and enrollment/acceptance, etc.
  • With direction from the Hiring Manager/Committee Chair assist in coordinating professional staff hiring which may include submitting necessary paperwork, coordinating video and in person interviews, solidifying travel needs, coordinating candidate reimbursement, and the university hiring process.
  • Provide organization and facilitate the onboarding experience and separation checklist consistent for all full and part-time staff. Create/update as needed.
  • Ensure compliance with HR policies, rules and regulations and document retention schedule.
  • Manage student bonus bucks and employee of the month programs.
  • Serve as backup for part-time payroll.
  • Provide direct supervision to front office student staff (i.e., hiring/terminating, determining and prioritizing assignments, scheduling, performance evaluations, disciplinary action, approve time off, etc.).
  • Work with professional staff to creatively engage student staff to foster teamwork among areas.
  • Coordinate travel for professional staff as needed and assist with student travel.
  • Assist with financial related functions for the department including review of department operating and capital budget, appropriate coding and approval for expenditures and revenue, purchasing through PACE/P-card, and travel and expense reporting through Concur.
  • Coordinate and track department IT requests, hardware and software needs.
  • Coordinate and order staff supplies, uniforms, and other general purchases.
  • Actively serve on department, university and other committees.
  • Positively interact with campus community, visitors, and external agencies.
  • May earn American Red Cross CPR/AED for Professional Rescuer with First Aid Instructor certification, assist in teaching classes to part-time staff, and running emergency action drills.
  • May require occasional evening and/or weekend hours.
  • Position may change at any time.

Required Education

  • Bachelor's Degree.
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

• One (1) year of experience in coordinating projects, human resources and/or financial activities.

Additional Qualifications Considered

• Bachelor's Degree.

• One (1) year of employee supervision.

• Strong administrative, verbal and written communication, organization, time management, supervisory, and professional skills.

• Demonstrated ability to identify problems, assess alternatives, render consistent and logical decisions.

• Previous experience hiring, training, developing and evaluating staff.

• Knowledge of various related systems, including Concur, PACE, UC Flex, SuccessFactors, Docusign, Trello, Microsoft Office suite including Teams, and Rec Automation.
