Program Specialist 3 - Donor Database Management, Foundation | Highline College - Military Veterans

The Program Specialist 3 position supports the college Foundation in a variety of complex duties and assignments, including managing the existing donor database and managing migration to new donor management platform. This position will report to and work under the general direction of the Director of Philanthropy. The specialist is a member of a team also supporting and collaborating on Foundation events and activities under Institutional Advancement. This position is key to upholding our mission and college-wide goals of engaging with donors and community supporters to increase the number of scholarships available and helping students reach their goals. The specialist will potentially have contact with clients, the public, staff members, students and faculty and must demonstrate excellent customer service to all clients. This position is a classified full-time position and is eligible for overtime. The work schedule is Monday through Friday. Some evening and weekend hours may be required. Salary Information : The above salary range reflects the starting step of Range 53 (Step A) and ending step (Step M) salary for this classified position and includes a 5% King County compensation provision. As a new classified employee, based on annual increments, it will take 5.5 years to reach Step L on the salary schedule, 11.5 years to reach step M on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future. Reporting directly to the Director of Philanthropy this position will: Work in collaboration with Foundation Development staff to support fundraising efforts through donor database management 50%: Primary manager of Foundation donor database; Keep all database information up to date including maintaining current addresses, updating personal life change information, spotting and removing duplicate records, and setting and maintaining standard procedures for data entry; Maintain pledge logs, send billings to donors (when gift pledges are part of donor commitment process); Provides ongoing training opportunities to Advancement staff and Development Officers on the moves management system and related prospect development functions as a Subject Matter Expert (SME); Design and implement moves management system in accordance with strategic planning meeting(s) and guidelines set forth by team; Responsible for the information management of prospect relationship data in the CRM database and reporting of prospect management systems; In collaboration with development staff, conducts research within database and manages prospect assignments to support organizational fundraising efforts; Monitor fundraising performance through the management of contacts, strategy plans, solicitation pipelines, performance metrics, etc. Ensure accuracy and timeliness of data to enable effective revenue stream forecasting and inform fundraising performance management; Produce or customize appropriate acknowledgement letters to donors(s), including those for pledge commitments; Generate segmented mailing lists for fundraising appeals. Provide support for Foundation Events - 25%: Under leadership of Director of Philanthropy and in conjunction with other foundation staff - Event Support, including serving on event committee; Supporting event planning and logistics, such as vendor contacts and supply ordering; Day of participation in set up, decorations, tear down and clean up; Supporting sending of post event acknowledgement to attendees, donors and sponsors. Provide support for fund development activities such as direct mail, donor reports and online and social media appeals - 25%: Provide updated mailing lists for events, direct mail and other printed publications; Provide updated distribution lists for electronic communications and solicitations; Provide data to be used in curating social media users to include in targeted communications for online campaigns to support both events and fundraisers; SKILLS & ABILITIES: Communicate effectively, both written and verbally; Maintain confidentiality; Experience working in database software including Blackbaud Raiser's Edge products or other donor relations management platforms such as Bloomerang or Donor Perfect; Strong organizational skills, ability to work independently and prioritize multiple tasks, maintain office confidentiality and accommodate numerous interruptions; Position requires high degree of accuracy and attention to detail; Advanced knowledge of computers and software applications, specifically MS Office suite: Word, Outlook, Excel, PowerPoint, and Access; Work well with others and function as a team member; Commitment to the community college mission and equity goals; Commitment to a working environment that values a diverse academic environment, inclusive of students, faculty, and staff of diverse cultural, socioeconomic, and educational backgrounds. MINIMUM: Bachelor's degree; AND Two years of experience including planning, policy analysis, coordination and consultation with a variety of public and private agencies, organizations, and/or levels of government OR equivalent education/experience; OR Associates degree; AND Four years of experience including planning, policy analysis, coordination and consultation with a variety of public and private agencies, organizations, and/or levels of government OR equivalent education/experience.
