Key Responsibilities Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Vice President for Diversity, Equity, and Inclusion. This position also serves as a liaison to the President's Office and Senior Leadership office teams; organizes and coordinates Vice President for Diversity, Equity, and Inclusion outreach and external relations efforts; and oversees special projects. Serves as the office manager, maintaining a pleasant and welcoming workspace, ordering supplies and maintenance as needed, organizing physical and digital files, and preparing meeting notes where appropriate. Facilitate the efficient utilization of the Vice President's time through development and coordination of a calendar of appointments, meetings, social engagements, and college functions with individuals and groups. Provide "gateway" and "gatekeeper" role for direct access to the Vice President's time and office. Work closely and effectively with the Vice President to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Represent the Office for Diversity, Equity, and Inclusion in communications with internal and external constituents, serving as first point of contact with the Vice President's office. Warmly engage, exercise independent judgment, and respond to inquiries with discretion, providing authoritative information regarding College policies, procedures, and decisions. Maintain confidentiality in carrying out responsibilities; take initiative in problem-solving; independently handle sensitive situations using tact and diplomacy; use initiative to ensure matters requiring attention are handled appropriately; work effectively in stressful situations meeting expected deadlines; refer inquiries or problems to the appropriate office or person when necessary; and follow up to determine the inquirer's satisfaction with the response In collaboration with the Vice President, support any special projects and initiatives by developing materials, managing timelines, and ensuring timely communication with internal and external partners. Minimum Qualifications : Qualified applicants will have earned a bachelor's degree and have a minimum of three years experience in an office setting. Prior experience in a higher education is preferred, particularly experience working with faculty members and academic administrators. Foundational knowledge of concepts related to diversity, equity, inclusion and belonging preferably in a higher education setting. Advanced Microsoft Office skills required, experience with financial databases preferred. Ability to be self-motivated, function autonomously, and consistently prioritize projects and tasks. Requires budget management skills, ability to work with diverse individuals, excellent organizational skills, attention to detail, and a customer service orientation. Must be able to effectively organize, track, and communicate complex processes in ways that support the vice president. Must have excellent writing, organizational, problem-solving, analytical, and interpersonal skills. Ability to manage confidential and sensitive information with discretion.
