Undergraduate Programs Coordinator - Military Veterans

Position Overview
The College of Biological Sciences is accepting applications for the position of Undergraduate Programs Coordinator. This is a new position in the College, reporting to the Associate Dean for Undergraduate Education and working in close coordination with CBS academic departments and CBS Student Services. The Undergraduate Programs Coordinator will work as part of the CBS Dean's Office team to provide administrative support to programs and processes involved in undergraduate education, including course offerings, assessment of student learning, CBS scholarships, undergraduate research, and inclusive excellence. This position will be responsible for developing and implementing new administrative workflows and timelines that align with University and CBS policy to enhance undergraduate operations. Successful candidates will develop effective communication strategies to coordinate efforts across the College and with University offices.

The salary range for this position is $70,000 to $75,000.

This position is expected to operate in person with some flexibility for remote work.

Job Duties
CBS Curriculum and Course Administration (50%)
-Maintain a master, rolling multi-year teaching plan across CBS, consulting with Department Heads and Associate Heads as teaching assignments are being made to collect and consolidate information about planning of course offerings and instructor assignments.
-Consult with Student Services leadership to enhance communication between departments and academic advisors about course offerings and schedule changes in relation to student curricular needs.
-Maintain a robust knowledge of collegiate curriculum, from college-wide goals to individual course and major/minor details.
-Serve as the CBS college-wide administrator overseeing course scheduling and classroom requests for all CBS-operated undergraduate courses. Provide back-up for CBS academic units for course scheduling needs, including generating permission numbers, updating sections, and adding instructor information.
-Serve as the CBS college-wide administrator for course entry, editing, and management in the university catalog system. Maintain an in-depth understanding of UMN curriculum systems and serve as the college point-of contact for faculty and staff.
-Stay abreast of syllabi content requirements, policies, procedures and language changes. -Communicate changes to appropriate stakeholders and follow through to ensure implementation.
-Triage inquiries from departments related to enrollment, curriculum and course coordination, responding independently or referring to collegiate leadership or University offices as appropriate.
-Communicate with College leadership about forecasting enrollment trends for student curricular needs, e.g. course capacity or scheduling bottlenecks and issues.
-Provide administrative support to the Educational Policy Committee, Directors of Undergraduate Studies, and other undergraduate working groups as assigned.
-Other projects as assigned related to enrollment, curriculum and course coordination.

Coordination and Administrative Support for Undergraduate Education Assessment (25%)
-Coordinate logistics (e.g. project management, including resource and meeting coordination, process planning to meet deadlines) for the annual student learning outcomes assessment reporting cycle.
-Collaborate with departmental and collegiate leadership, instructors and other stakeholders to meet assessment goals and timelines related to undergraduate education and student success.
-Assist with preparation of student learning outcome-related assessment reports to meet UMN Office of Undergraduate Education deadlines.
-Provide administrative support (e.g., communications and planning meetings and workshops) to other CBS initiatives and programs that assess student learning.

Undergraduate Scholarships, Research, and Inclusive Excellence Programming (25%)
-Coordinate CBS undergraduate scholarship administration, including awarding and tracking of scholarships, developing spending plans, and continuous process improvement.
-Collaborate with College and University stakeholders to advance the College's strategic priorities and ensure adherence to University policies.
-Assist with logistics management for undergraduate research programming in CBS, including the Dean's Research Program, undergraduate research travel awards, directed research enrollment, and CBS student participation in the Undergraduate Research Opportunities Program.
-Administer the CBS Inclusive Excellence Program, coordinating the application process, communications, and collaboration with the Center for Educational Innovation, and organizing the annual Inclusive Excellence Symposium.

Required Qualifications
-BA/BS with at least 2 years of experience or a combination of related education and work experience to equal six years
-Position involves comparing, verifying and reconciling data to help department achieve overall objectives.

Preferred Qualifications
-Demonstrated experience in project management and/or program coordination
-Strong written and verbal communication, and time management skills to establish and maintain effective working relationships
-Experience working in a higher education setting
-Evidence of a commitment to diversity, equity, inclusion and justice
-BA/BS with 5+ years of progressively more responsible experience
-Training or experience in implementing best practices for undergraduate educational programming
-Experience with curricular and student data analytics systems, catalog and course scheduling software systems (e.g. Canvas, UM Analytics, Coursedog, CCS, PeopleSoft)
-Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere with a diverse population and with people from various cultural backgrounds
-Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines
-Requires good judgment, accuracy, confidentiality, and the ability to proactively anticipate leadership needs
