Assistant Director of Global Engagement and Study Abroad | Manhattan College - Military Veterans

The Assistant Director shall be responsible for all logistics and operations for the Office of Global Engagement in support of the mission of providing students with an opportunity to expand their views of the world and develop a better understanding of other cultures. In cases of exceptional qualification and relevant previous experience, the candidate can be considered for hire as Associate Director. This position reports to the Executive Director of Global Engagement and Study Abroad.

Responsibilities of the position include:

Work with faculty members to facilitate logistics for existing long-term and short-term study abroad academic programs (budgets, travel arrangements, accounts receivable and accounts payable).

Assists in booking flights, travel, accommodations, and coordinate other services for faculty-led and exchange programs.

Meet with students individually to assess appropriate program selection with regard to academics, timing and funding and guide them through the application process.

Support exchange and matriculating undergraduate and graduate international students upon arrival until departure.

Track funds from students attending programs (deposits and then balances).

Coordinate with other departments, including the Registrar, Residence Life and Bursar to implement programming.

Represent the Global Engagement Office from time to time at conferences, student orientations, workshops and panel discussions.

Work closely with key offices on campus (Registrar, Financial Aid, Residence Life, Dean of Students) to make sure students have in-house clearance to study abroad.

Work with Executive Director on a continuing assessment of office policies and procedures to make operations more efficient. Keep track of data on students studying abroad, balance of exchange numbers, and other metrics.

Manage administrative items for Global Engagement Advisory Council.

Work with Executive Director to evaluate and improve emergency protocols and standardize procedures including faculty trainings, emergency guidelines and insurance resources.

Manage communications lines for student crises abroad, student issues, and parents and families.

Manage all budgets and budget reconciliations for Global Engagement Office.

Manage correspondence with students and parents and keep in touch with students while abroad. Act as point of GE Office contact for students and parents should issues arise.

Plan study abroad informational sessions, pre-departure meetings and re-entry meetings for students and faculty.

Prepare, maintain and distribute promotional materials for study abroad including the maintenance of the study abroad homepage, calendar of events, social media and other resources.

Assist in organizing all SA events including fairs and resource browse.

Assist in cultivating global partnerships and serve as primary contact with existing partner institutions.

Coordinate exchange process with MC Admissions, International Student Services Coordinator, and Residence Life on students attending MC on Study Abroad Exchange Programs.

Evaluate and process students transcripts from semester abroad with academic/major/minor advisors and the Registrar upon their return.

Manage technology for the GA office, including electronic forms, CRM, google drive folders, Workflow and other projects.

Serves as supporting advisors for the Boren and Gilman Fellowships with Fellowship and Advising Office as primary advisors. Works with identified applicants throughout the application process.

Day-to-day task management of graduate assistant or part-time staff.

Minimum Qualifications: Bachelors degree. Prior experience working in college level study abroad and/or with international students. Ability to work with Google sheets and manage data with Excel, with attention to detail.

Additionally Preferred Qualifications: Completed or in-process Masters degree. Prior familiarity with a Customer Relationship Management (CRM) application, preferably SLATE. Second language skills in Spanish, French and/or Italian are a plus.

Salary Range: $61,500 $67,500
