NCSC is looking for an experienced Administrative Manager to join our Court Consulting Services Group. The Administrative Manager provides advanced professional assistance to the vice president of the Court Consulting Services Group. Functioning as an extension of the vice president in supporting budget management, project development, division operations and a geographically dispersed professional consulting staff.

Duties and Responsibilities


 


·        Demonstrates conduct that upholds the basic Core Values of NCSC 


·        Manages telephonic and electronic communications for the vice president and CCS by initiating, screening and responding to phone calls evaluating inquiries and referring them to the appropriate individual within CCS or the larger organization


 


·        Manages the vice president's calendar to include scheduling meetings, maintaining daily schedules and schedules of recurring meetings and events, and coordinating schedules with internal and external clients


 


·        Prepares routine correspondence in draft and final format, independently authoring correspondence


 


·        Manages the vice president's travel itinerary and detailed travel logistics, preparing reimbursement vouchers and maintaining expenditure records


 


·        Assists with development and management of the division's budget including: participating in preparation of the annual budget, tracking operational expenditures, preparing and maintaining budget reports, monitoring staff labor usage and preparing related reports


 


·        Reviews and prepares payment and travel vouchers for approval and interacts with accounting staff to understand processes and procedures and resolve discrepancies


 


·        Interacts with headquarters' IT and HR staff to request assistance with and resolve issues


 


·        Mentors and serves as a resource for administrative staff within the CCS Group


 


·        Facilitates the onboarding process of new hires, serving as a resource


 


·        Develops and revises administrative policies and procedures to meet the needs of the Group and align with the organization's policies


 


·        Frequently collaborates with VP, Managing Directors, and project management administrators on administrative strategies and initiatives to help execute CCS goals


 


·        Plans and coordinates events for CCS leadership and staff 


 


·        Builds relationships with court leaders, external experts and other justice system partners and funders through seminars, conferences, and professional networking.


Qualifications


·        A bachelor’s degree in business administration/management, office administration or a related field of study: or a combination of education and experience that demonstrates the ability to perform the duties of the position


·        5+ years of progressively responsible administrative support experience with at least two (2) years working at the executive assistant level of an organization


·        Experience preparing financial reports and budget documents preferred

·        Ability to travel to client locations, meetings and/or conferences throughout the United States


 


·        Represent NCSC in a professional manor; including an ability to establish credibility and to interact productively with staff across the organization and with external stakeholders  


 


·        Communicates timely and professionally, with internal and external clients, both orally and in writing


 


·        Considerable knowledge of accepted business practices and procedures


 


·        Ability to analyze administrative problems and determine acceptable and effective solutions or make recommendations


 


·        Ability to prioritize assignments and perform multiple tasks within assigned deadlines


 


·        Ability to research, assemble, and correlate financial and statistical data


 


·        Ability to establish and maintain effective working relationships with individuals at all levels of the organization and external to the organization


 


·        Ability to acclimate new technology platforms and software


 


·        Demonstrated proficiency using a PC and Microsoft Office products to include Excel, Word, Outlook features and PowerPoint to produce reports, budgets and presentations


 


·        Experience preparing financial reports and budget documents preferred

The annual starting salary for this role is between $68,640 - $80,000, factors which affect starting pay within the range include education, experience, and other qualifications as it relates to the position.

NCSC is the organization courts turn to for authoritative knowledge and information, because its efforts are directed by collaborative work with the Conference of Chief Justices, the Conference of State Court Administrators, and other associations of judicial leaders.

Consequently, NCSC is able to return expertise to the courts in a variety of forms — from Web resources to hands-on assistance. The National Center for State Courts is an independent, nonprofit court improvement organization founded at the urging of Chief Justice of the Supreme Court Warren E. Burger. He envisioned NCSC as a clearinghouse for research information and comparative data to support improvement in judicial administration in state courts.

Over twenty years ago, the Institute for Court Management merged with NCSC, adding an educational curriculum especially designed for court managers. In the early 1990s, an international division was formed to offer a similar array of research, consulting, education, and information services to strengthen the rules of law in countries around the world.
