Access Coordinator | Davidson College - Military Veterans

As a department within the Division of Student Life, the Office of Academic Access and Disability Resources (AADR) serves two primary functions - to provide academic support to students so they may improve their academic performance and to support otherwise qualified students with disabilities, temporary disabilities, and/or undiagnosed disabilities and work with campus partners to provide equitable access to academic courses, course content, services, programs, and facilities. AADR also recognizes disability as an identity and an essential component of Davidson's diversity. The access coordinator provides direct support to AADR staff and is responsible for a wide variety of complex administrative and office management duties in a fast-paced, collaborative, student-centered department. The access coordinator will work directly with students to provide appropriate assistive technology, implement the notetaker program, and coordinate the Alternate Format Lab to facilitate the production of accessible course materials, which includes producing accessible course materials. This is an hourly, full-time (40 hours), 12-month position that reports to the Director of AADR. Work hours typically occur between 8:30-5:30pm, Monday - Friday, with occasional evening and weekend hours for campus activities, events, and programs. Some travel to national, state and local conferences will be required. PRIMARY POSITION RESPONSIBILITIES Receptionist and General Office Responsibilities Interface with students, faculty and staff in a confidential and professional manner by phone, email and face-to-face, including the reception of individuals coming to AADR to ask questions and/or make a request and those waiting to meet with AADR staff; provide administrative support for the various functions of the AADR Office; assist with managing the appointment calendars of the AADR director; submit work orders for office maintenance; order office supplies; assist with managing AADR events by reserving spaces, arranging for set-ups, and placing catering orders; and respond to AADR staff requests for administrative support. Recordkeeping and Budget Maintain data records using Accommodate, Oracle, Etreive, and Banner databases, along with corresponding spreadsheets, as it relates to various components and functions of AADR; and assist AADR staff with compiling data for the creation of reports. Perform budgetary tasks, including maintaining budget spreadsheets, paying invoices, assisting with management of the Corporate Purchase Card, contacting vendors and on-campus services, and communicating with Business Services about the financial activities of AADR. Collaborative Coordination and Communication The AADR Office is a collaborative effort that involves a student advocacy group (Davidson Disability Alliance, also known as DDA), the John Crosland, Jr. Center for Teaching and Learning (CTL), the Dean of Students Office, and other faculty and staff. This individual will assist AADR in communicating vital information to our partners and in coordinating workshops, programs and speakers for the AADR, CTL, and DDA, as requested. In addition, this individual is responsible for maintaining the AADR webpage and related pages of the college's website. Student Worker Supervisor Supervise student workers by hiring and training them, delegating duties, and overseeing and approving student time sheets. Assistive Technology Specialist Oversee the multi-faceted assistive technology program: implementing the notetaker program, which includes processing requests, recruiting and supervising volunteer notetakers, and facilitating appreciation of the notetakers' service; acquiring and maintaining assistive technology, such as LiveScribe pens and materials, Glean, Read & Write Gold, Learning Ally, and other forms of assistive technology; conducting assistive technology sessions with students to provide them with appropriate assistive technology, including training and troubleshooting. Coordinate the Alternate Format Lab Coordinating the Alternate Format Lab includes, but is not limited to, fulfilling requests for alternate formats of course materials (digital and print); producing accessible materials in-house when not available elsewhere; fulfilling captioning requests from professors implementing hearing accommodations; coordinating the production of accessible course materials for students needing more intensive conversion of course materials, which may include the hiring/training/supervision of student alternate format technicians and prepping materials for their completion; and coordinating sign interpretation services for Deaf students. The access coordinator will participate in accessibility planning meetings led by the assigned AADR disability professional. EDUCATION AND EXPERIENCE REQUIREMENTS A bachelor's degree is required. The ideal candidate for this position would have: At least two years of professional work experience related to the roles and responsibilities of this position, which may include providing administrative assistance in a post-secondary institution, medical office, counseling office or vocational rehabilitation office; or working in a post-secondary institution supporting students with disabilities in the areas of implementing academic accommodations, providing assistive technology and/or producing alternate formats. Working knowledge of various disabilities and disability laws (ADA, Section 504, etc.) as they pertain to higher education and students with disabilities, Experience with computers and technology, including Microsoft Office, Google suite, and website development and maintenance. Expertise with web-based data management systems, such as Accommodate or other disability service platform, is preferred. Experience with budget management, including paying invoices, and other office support skills. Knowledge of and skill in producing accessible course materials, such as alternate formats for those with print and/or reading disabilities, digital formats for blind students, and captioning videos. The person in this role will need to be able to view and identify inaccessible course materials and convert them into accessible formats. Ability to communicate effectively and appropriately with faculty, staff, students, and campus partners from diverse backgrounds, including those with disabilities. Ability to contribute to a cohesive team environment and to work both independently and as part of the team. Strong candidates will demonstrate they are a self-starter and creative problem solver, can consistently meet deadlines, and able to achieve high levels of competency with few errors. The person in this role will need to be able to physically navigate campus to visit and enter residence halls, academic buildings, and other areas of campus for meetings, accessibility checks, and events. Must also be able to lift 25 pounds, typically in the form of boxes of print material and office supplies. They will also need to view print documents, such textbooks and student case files, and videos to assess them for accessibility and convert them to accessible formats.
