Affirmative Action No.:: 24P074 First Consideration Date:: 07/16/2024 Department:: Student Affairs & Admissions-SOM Position FTE:: 100% Minimum Annual or Hourly Rate: $45,000 Job Purposes:: This role ensures smooth academic progress for medical students at the Wright State University ( WSU ) Boonshoft School of Medicine ( BSOM ) by facilitating the efficient operation of medical student scheduling and support services. This involves supporting clerkships, coordinating electives, and related activities in collaboration with relevant stakeholders. Responsibilities include managing scheduling platforms, addressing student inquiries, maintaining databases, and ensuring compliance with regulatory requirements. Through data analytics and reporting, this role provides critical insights to inform strategic decisions and enhance the educational experience. Ultimately, this position supports student success and contributes to continuous improvement in medical education at BSOM . Required Qualifications:: Bachelor's degree and 2 years' experience within data analytics, data extraction, scheduling, advising, student support services, compliance, advanced administrative duties or similar field. Familiarity with data visualization techniques and tools. Strong analytical and critical thinking skills. Ability to explain complex information simply. Interpersonal skills that promote openness and trust and ability to build relationships with a diverse population. Excellent organizational and time management skills, with the ability to manage multiple projects and deadlines simultaneously. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and ability to quickly pick up various other computer platforms. Attention to detail and commitment to data accuracy and integrity. Excellent problem-solving skills including demonstration of de-escalation techniques. Preferred Qualifications:: Prior administrative experience in higher education, the healthcare system, or with a work history that demonstrates equivalent skills. Experience coaching, advising, and/or leading adults. Experience with data extraction, manipulation, analysis and interpretation. Essential Functions and percent of time:: Student Compliance 45% Responsible for various databases and reports OSAA needs to keep up to date. Ensure compliance and accuracy of medical student immunization records, medical student background checks when appropriate, and drug test results; communicate with leadership to resolve student noncompliance; maintain all records appropriately and support student questions regarding access to records or overall process. Ensure BLS compliance in all clinical students Manage and update affiliation agreements, including but not limited to ensuring agreements are on file for student rotations and reporting to WSU as needed. Coordination of the BSOM Visiting Student Learning Opportunities ( VSLO ), including maintaining VSLO platform, uploading appropriate elective catalogs, working with various departments to accept visiting students. Verification that all academic requirements for graduation have successfully been fulfilled. Ensure documentation of all Doctoring student's N95 fit testing and manage repeat testing for M4s as needed. Oversee the DME (Department of Medical Education) supported/ BSOM purchased student subscriptions (such as U-World or other similar resources), includes ordering, troubleshooting of log-ins/credentials, and communicating with the provider as needed. Scheduling & Advising 35% Work alongside the Medical Student Coordinator to schedule M3 clerkships and electives. Provide support for scheduling issues, including familiarity and proficiency with the various platforms utilized in scheduling. Co-manage the scheduling email's in-box to address student questions; including but not limited to questions related to away rotations, student-initiated electives, research for credit, specific and general questions about scheduling, etc. Communicate and respond to students reaching out to general BSOM scheduling email. Advise students on the scheduling outcomes related to delaying step-1 exam. Maintain and update the elective catalogs for both 3rd and 4th year students. Ensure MD in 3 students are scheduled according to their specialized track. Support informational sessions for rising 4th year students regarding phased scheduling and graduation requirements. Data Analytics 15% Extract data from admissions, NBME , AAMC SRS , NRMP , BANNER , and BAMS platforms for reports on trends and student outcomes for senior BSOM leadership. Support the collection and management of Liaison Committee on Medical Education ( LCME ) Data Collection Instrument ( DCI ) related to accreditation. Provide data analytics to major BSOM stakeholders to inform enrollment management, continuous quality improvement, and curricular innovation. Assist with wide range of assessment efforts including in curriculum development and student learning outcomes, and co-curricular activities by providing relevant data. Ensure the accuracy, integrity, and security of all student data in compliance with relevant regulations such as FERPA (Family Educational Rights and Privacy Act) and HIPAA (Health Insurance Portability and Accountability Act). Provide data-driven insights to support student success initiatives, including academic advising, tutoring programs, mental health services, and diversity, equity, and inclusion efforts. Conduct benchmarking studies to compare the medical school's performance metrics with those of peer institutions regionally, nationally, and internationally, identifying areas of strength and areas needing improvement. Working Conditions:: Typical university office environment; some evening and weekend events required. This individual must have the ability to work effectively with a largely diverse populations, including neurodiversity. The job requires regular communication with students, physicians, faculty administrators, alumni, and volunteers. Must have a valid driver's license.
