Administrative Assistant About the Opportunity JOB SUMMARY: The Administrative Assistant for the Office of Student Conduct ector, Associate Director, and two Assistant Directors. Working in the capacity of the Sanctions Compliance Officer, the Administrative Assistant must maintain accurate records of completed educational sanctions, assist with record keeping of collected fine money; maintain accurate records of conduct/university 'holds' on a student's record; and serve as a resource to hearing officers in the area of sanctioning and sanction compliance. RESPONSIBILITIES INCLUDE: Providing copies of all documentation related to the hearing for board members and parties involved in the case Responding to telephone and in-person inquiries from students, parents, and relevant university community members and hearing advisors. General secretarial duties include typing, filing, mail sorting, maintaining office email account, answering telephones and referring telephone calls to appropriate staff members as needed . Maintaining accurate record keeping of completed educational sanctions, maintain accurate information about local community service sites; assist with the record keeping of fine money. Maintaining accurate records of conduct/university 'holds' on a student's record; serve as a resource to hearing officers in the area of sanctioning and sanction compliance. Compiling bi-weekly reports to reflect student compliance in all sanctions. Monitoring, tracking and maintaining accurate records for all account expenditures within the department budget; process and monitor journal entries and budget transfers. Recruiting, selecting, training and evaluating student workers pursuant to the university work-study program; design specific orientation and training program for student workers. Monitoring progress of tasks assigned and hours worked; ensure timely submission of hours worked for payment purposes. Inputting data into and maintain Maxient database for all student disciplinary cases; prepare, organize and maintain disciplinary case files. Monitoring, tracking and purchasing office supplies as needed MINIMUM QUALIFICATIONS: Bachelor's Degree strongly preferred. Previous office experience required, including significant working knowledge and experience with computers. Proficiency required in working with software programs including Microsoft Office (Word, PowerPoint, Excel), Adobe Acrobat, etc. Must demonstrate a high degree of professionalism, the ability to work independently, manage multiple tasks and assignments simultaneously, and meet daily deadlines. Excellent organizational, written and oral communication skills. Must demonstrate ability to exercise judgment, independent thinking, and possess problem solving skills. Must demonstrate ability to discuss sensitive issues with a diverse population of members from the university community, including students, parents, faculty and staff.
