Overview:

Reporting to the Managers of Quality Assurance, this position supports the entire Quality Assurance organization through the administrative management of critical departmental resources. The successful candidate will be responsible for all administrative functions associated with the Quality Assurance Department, a self-starter with an excellent communication skills, a positive attitude, and strong teamwork. This position requires a high degree of professionalism and clear, concise communication.

Job functions:


  • Department manager support

    • Document typing

    • Formatting and distribution (classified and unclassified, paper and electronic)

    • Answering the phone

    • Taking messages

    • Coordinating vacation calendars



  • Supply purchases

    • Tracking inventory

    • Taking and consolidating order information from various personnel

    • Preparing and submitting orders

    • Receiving and staging stock for various locations

    • Managing corporate credit card

    • Paying invoices



  • General office duties

  • This position is computer driven. Individual must be capable of the mastery and use of various computer platforms including

    • Word

    • PowerPoint

    • Excel

    • MRPII

    • SPARS

    • Various internet sites for materials ordering



  • Responsible for repair tool program

    • Sending out tools for repair

    • Tracking tool status



  • Planning and logistical support of Quality Assurance events and special projects, including but not limited to, certification events and audits.

  • Management of departmental training needs, including assignment, registration, and completion of ROPEs

  • Maintaining departmental records, including organizing, filing, and archiving

  • Communicating department management delegation information and maintaining records

  • Generating document copies and scans, and maintaining the Printer Area, including sufficient stock of consumables and tools.

  • Pick-up, sort and distribution of department mail

  • Interface with various levels of management

  • Cross-training of office functions will be expected to ensure full coverage of responsibilities

  • Monitor NDT training using PQS and correspond with Supervision through written and oral communications regarding

    • Employee qualifications

    • Past due training requirements

    • New training

    • Track Jaeger Vision Tests

    • Ensures vision tests are updated in CSOD

    • Distributes NDT Quals due list to Supervisors

    • Ensures completions are recorded correctly

    • Prints/distributes or emails reports required for meetings to Supervisors and General Foremen. (Dispatch, agendas etc.)

    • Support business systems data entry as needed (e.g. SAPIP, Delay Logs etc)



  • Coordination of facility and IT needs related to major moves

  • Distribute and track the return of various read and sign materials

  • Maintain and update department records and files for hourly and salary personnel

  • Communicate with security when asked for employee security information, DOD paperwork, briefings, etc.

  • Coordinate shuttle requests and visit requests with security for traveling personnel

  • Process disbursement vouchers for briefings, retirement luncheons, etc.

  • Order retirement submarines and notify requesters to pick up models

  • Support RT Film archival

    • Film organization and logging

    • Government lot lists

    • Long term storage archiving, retrieval requests and returns

    • Film Cataloging

Qualifications

Required:

  • High School Diploma or GED

  • 0-5 years of relevant Administrative experience

  • Must be a self-starter and dedicated to making the process work

  • Must possess high degree of professionalism and be capable of prioritizing and multi-tasking

  • 3+ years of experience with use of Microsoft Word, Excel, and Powerpoint

Preferred:

  • Experience with Quality Assurance

  • Experience as a Cornerstone Administrator

  • Experience as a Concur Administrator

  • Understanding of Quality Assurance Audits and Certification Events

  • Post-secondary education

  • Construction or shipyard tooling, materials and PPE experience

  • Experience tracking inventory and setting order points

  • Ability to read and understand EB Policies and procedures

  • Project Management or Logistic Coordination

  • Adaptability

  • Teamwork
