DEI & Academic Conferences Coordinator University of Notre Dame The University of Notre Dame ( ND.jobs ) is accepting applications for a DEI & Academic Conferences Coordinator . The DEI & Academic Conferences Coordinator provides critical support to two important pillars within the College of Engineering: the diversity, equity, and inclusion activities led by the college's DEI Program Director and Associate Dean for Diversity and Faculty Development and the local, national, and global academic conferences and workshops sponsored by faculty members within Engineering, in partnership with relevant institutions and organizations. The DEI & Academic Conferences Coordinator will provide administrative support to the activities and events spearheaded by the college's DEI Program Director (PD) and Associate Dean for Diversity and Faculty Development (AD). Responsibilities will be both strategic and logistical in nature and will include (but are not limited to): planning and executing initiatives related to DEI in alignment with the vision of the PD and AD; managing the budget for one of the related recurring programs; ordering equipment, supplies, and food; initiating reimbursements and payment requisitions; assisting with communications; etc. This position will also administer special summer programs for precollege and existing students, including logistical coordination for programs already in existence (e.g. the Engineering Summer Undergraduate Research Experience, E-SURE) and programs that are in development as part of the college's strategic priorities to provide more opportunities to interested current and prospective students. In partnership with the college's Undergraduate Program Coordinator, they will manage the funding application process, which is critical to the operations of these programs and students' abilities to participate. They will also select and train Research Assistants (RA's) for these Engineering initiatives, will coordinate with other departments regarding their summer programs, and will serve as a resource to program attendees, connecting them with the appropriate campus department for inquiries related to housing, dining, and otherprogram-related needs. For academic conferences and workshops approved for college-level support, this position will work with the designated faculty member(s) to ensure the efficient and successful execution of the event, from inception to completion. Related responsibilities include: assessing all space needs (including meeting space, lodging, dining, etc.); booking the event through the appropriate avenues (ExperienceND or off-site, as required) and remaining a constant point of contact throughout the process; planning the budget for the event (including any fees for project management); approving and overseeing financial transactions related to the execution of the conference/workshop; managing the registration process for attendees; coordinating the abstract submission, publicity, design, printing, etc. and partnering with the college's Communications team, as appropriate; preparing all required project reporting; and handling other issues and questions that may arise in the course of event planning and execution. In association with this position's other responsibilities, the occupant may also assist with recruitment activities and planning strategies for the college, along with special projects and/or initiatives tied to Engineering priorities. Please note that this is a 3-year limited-term position with the possibility of renewal. Minimum Qualifications: At least 3 years of experience Associates degree or up to 3 years of college or technical school (or the equivalent in additional work experience) A commitment to and experience with facilitating DEI initiatives; demonstrated ability to plan, organize, and execute processes and events, with the agility to pivot across a variety of event types (e.g. domestic and international, those with audiences small and large, conferences/workshops in association with professional organizations and/or other institutions, etc.); excellent organizational skills, attention to detail, and the ability to work independently; proactive team member who takes initiative and effectively prioritizes competing demands; strong verbal and written communication skills to be able to communicate effectively with a diverse group of stakeholders, both internal and external; a professional, courteous, and helpful attitude; where necessary for the execution of academic conferences and events occurring globally, the ability to execute deliverables in various time zones Preferred Qualifications: ABOUT NOTRE DAME: The University of Notre Dame, founded in 1842 by Rev.
