Position Title: Senior Assistant To, Grade E School/Division: Mail Room (division) Full Time/Part Time: Full-Time Description: Reporting to the Director of Print and Mail Services, the Senior Assistant To provides high level executive secretarial support to the Print and Mail Services department. Responsibilities include, but are not limited to: Assists the Director and acts as a liaison between Print & Mail Services and the Creative Services team in the oversight and workflow from when a print request is received to delivering the final product. Receives, organizes, and expedites Hofstra University direct to print poster, color, blank & white, and Creative job requests through the online print job submission program, WebCRD, or comparable online print job management software. Answers and responds to phone calls and follow-up on phone inquiries. Supports the Assistant Director with ensuring the proper products are ordered and that cost-effective printing solutions are achieved. Reviews direct-to-print submissions for University standards and copyrights. Maintains project records, provides end-user support and tracks and estimates printing costs for WebCRD and CTS systems. Responds to department inquiries, orders supplies, handles service calls for equipment, makes copies, faxes and files, and processes work orders. Assists the Director with the oversight of workflow from when the print request is received to delivering the final product. Uploads PDF files, adjusts prior specifications, and closes jobs using WebCRD, Google Docs, and Microsoft Teams. Assists with the updating and maintenance of mailing lists. Assists with special projects as needed. Performs other duties not specifically identified above, but which require the same degree of skill, and which are normally included within the above job title. Hours: Monday through Friday from 9am to 5pm. Subject to bumping Qualifications: Excellent communication and interpersonal skills required. Proficiency in Microsoft Word and Excel. Knowledge of WebCRD and Mail Manager 2010 or comparable software. Must be able to work independently with minimal supervision and exercise judgement in a high traffic, fast paced office. Must be flexible to work overtime, when necessary.
