The incumbent is a creative, independent problem-solver who is confident, proactive, adaptable, and observant. Sound judgment, tact, discretion, close attention to detail, and the ability to multi-task under pressure are essential characteristics. The ability to learn quickly and a willingness to welcome new challenges also are indispensable. The Executive Analyst & Coordinator is responsible for representing the Provost's office in a professional manner to a variety of internal and external constituents, including Deans, Vice Chancellors, staff, faculty, students, community members, visitors, and the UC Office of the President. The incumbent has a thorough understanding of the Provost's priorities and expectations, coordinates and prioritizes the Provost's schedule, and ensures that the Provost is briefed and prepared for meetings and events. The incumbent also assists with university communications and events sponsored by the Provost's office, provides scheduling support for the Associate Provost, and supervises the student employees in the office. The Executive Analyst & Coordinator is also expected to continually enhance their skillset through ongoing professional development. The full salary range for the Executive Analyst & Coordinator to Provost/Executive Vice Chancellor is $71,100 - $128,700 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Key Responsibilities Description:Percent Time: Functions as the gatekeeper, understanding the requirements of the executive, in order to prioritize issues according to urgency and to allocate time accordingly. Retains ultimate responsibility for scheduling the Provost's time. Manages a complex and highly impacted calendar, ensuring the Provost has adequate time for briefings, meeting preparation and daily review of correspondence/email. Manages the Associate Provost's calendar, including setting appointments, organizing availability and preparing for committee meetings. Consults with the Provost to set appointments on the calendar in accordance with the urgency of the problem, travel schedule and priority of commitments. Organizes ad hoc committees appointed by the executive on a broad range of issues. Develops and implements efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses. Maintain and schedule large matrix of 1:1s, committee meetings, Chancellor meetings and other recurrences set yearly and adjusted regularly. Ensures the Provost is on time to meetings and events. 40% Directs the daily administrative operations for the executive's office. Monitors and manages the Provost's general mailbox, responding or forwarding emails as needed. Serves as a liaison to and coordinates the Provost's communications with other high level administrative and academic offices at UCR, UCOP, other campuses and external agencies. Organizes meetings/retreats for the Provost, including arrangements for location/rooms, room set-up, food service, notices/invitations, etc. Develop additions, changes and removal of information to the Provost's website on a regular basis. Manage the Provost's office hour process to campus community, including scheduling, sign ups, and events page submissions.15% Develops and implements efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses. Gathers thorough information concerning all logistics of special events as well as expectations for the Provost's role. When a speaking role is involved, coordinates preparation of the Provost's remarks, ensuring they are submitted in time for review and revision, if necessary. Organizes all meetings for the Provost, including arrangements for location/rooms, room set-up, food service, notices/invitations, etc. Organizes the annual day-long campus leadership retreat for Provost and Chancellor, including arrangements for location/rooms (often off-site), room set-up, food service, notices/invitations, meeting materials, development and payment of service contracts, etc. Oversees and coordinates complex logistics relating to campus visits by external delegations. 10% Independently arranges for all necessary travel requirements for the Provost and Associate Provost (including airfare, car rentals, and hotel reservations). Prepares and processes all necessary purchasing for airline tickets, car rentals, registration fees, hotel deposits, etc. Upon return, processes necessary paperwork to obtain reimbursement for travel expenses. 10% Administrator for Provost's committees, including, but not limited to: Building Safety Emergency Coordinator for Hinderaker Hall, Executive Management Policy Group, UCR Police Accountability Board, Provost's Cabinet, Deans' Council. Schedule meetings, organize agendas, draft meeting minutes, and follow up on action items. Organize and manage the 5-year review process for Provost's direct reports. Develop and revise procedures to ensure a successful completion of a review, including drafting and finalizing a timeline to keep committee on task and on time.
