JOB PURPOSE: Perform moderately complex accounting activities and functions, including monitoring accounts, preparing documentation, expenditure reconciliations and reviews, revenue reporting/accounting, purchases and reimbursements, general ledger transactions, and journal entries. This job reports to the Director of Accounting and Operations for the ASSU. CORE DUTIES: Review, process, gather, and compile accounting transactions and documents for completeness, accuracy, and compliance. Contribute to the development of analyses to be used for key activities or decision making. o Process student reimbursements, invoice payments, and service payments. o Track, record, and report revenue and expenses; determine appropriate procedures for accounting record preparation, and research of transactions. o Review voluntary student organization funding transactions and aid student government with their funding process. o Process voluntary student organization transfers. o Oversee credit card processing and usage for assigned VSOs. Ensure compliance with university policies. Identify, prioritize, and resolve accounting issues; probe beyond stated situation; identify underlying issues; recognize exceptions; perform preliminary analysis. o Execute internal control programs established by management, research new regulations, and recommend and implement approved changes. o Reconcile, and resolve problems relative to accounts. o Resolve accounting questions and inquiries from the ASSU email inbox in a timely manner. Research and escalate issues as needed. Run, maintain, reconcile, review, combine, analyze and validate financial data sets, utilizing financial reports, financial databases, and key financial information often from multiple systems. Assist in the preparation of basic management information reports. Identify and resolve incorrect journal entries, data anomalies, deviations from established procedures, and unusual issues. Collect data and perform research on details of transactions. Ensure work complies with complex internal policies and external regulations which may require interpretation. Participate as a member of a project team and contribute to change management strategy through communication and collaboration with others. Contribute to the development and maintenance of desktop procedures and process documentation for area of responsibility. Serve as a liaison to other departments to resolve accounting-related issues. May train, coach, and review the work of other staff, as needed. Contribute primarily through applying individual expertise. o Offer coaching and advising to students on accounting and financial matters as needed. o Answer accounting-related questions and support voluntary student organizations. o Work with voluntary student organizations on ticketing for their events. MINIMUM REQUIREMENTS: Education & Experience: Associate degree plus two years of applicable experience, or combination of education and relevant work experience. Knowledge, Skills and Abilities: Proficiency in basic business applications, such as Microsoft Office; user knowledge of Excel. Basic knowledge of accounting systems and the internet; computer literacy. Understanding of and ability to apply accounting skills and concepts. Ability to draft professional e-mails, memos, business letters, and reports, and to clearly and effectively communicate information to internal audiences and client groups. Ability to learn project management skills and to participate as part of a project team. Preferred Qualifications: Intermediate proficiency in business applications, such as Microsoft Office Intermediate Excel skills, Google Sheets and Google Docs. Knowledge of Generally Accepted Accounting Principles and Internal Revenue Service regulations. Demonstrated communication skills, including the ability to clearly and effectively communicate information to students and internal audiences Certifications and Licenses: None PHYSICAL REQUIREMENTS: Constantly perform desk-based computer tasks. Frequently sit, sort, file paperwork or parts, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh 10 pounds or less. Occasionally write by hand, twist, bend, stoop and squat. Rarely stand, walk, reach or work above shoulders and use a telephone. WORKING CONDITIONS: This is a hybrid position requiring at least three days of onsite work per week or more as needed to meet student and departmental needs. The expected pay range for this position is $74,000 to $95,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
