HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:


  • Working in a discreet environment handling sensitive and personal information daily


  • Completing transactional duties with special attention to detail, being organized, and multi-tasking


  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email


  • Handling and receiving incoming and outgoing correspondence



As an Administrative Assistant II, your day-to-day responsibilities will include:

  • Travel Coordinators (TCs) will serve as the main Point of Contact for arranging travel for the MC's approximately 2,500 member staff and contractor cadre


  • Travel load fluctuates depending on the time of year, but on average the TC team will coordinate travel for 20 -30 travelers per week (average 8 -12 per TC when fully staffed)


  • MC Travel Coordinators will be responsible for managing and executing end to end travel arrangements for all Staff and Contractors assigned to the MC or traveling for MC requirements


  • Travel requirements are CONUS and OCONUS, with a heavy focus on travel to challenging locations, and require close coordination with the Sponsor Air Support team


  • Average travel requirements are minimally complex, but still require a keen eye for detail


  • Travel for Senior Sponsor officers can become very complex due to the number of locations within a short period of time


  • TCs provide travel arrangements utilizing unique identity procedures as necessary


  • Travel Coordinators (TCs) will be responsible for gathering information from the respective Sponsor offices regarding traveler's medical clearance, training certificates, and weapons qualifications


  • The TC's support to the traveler ends when the traveler returns to their home location, although guidance can be provided regarding travel accounting's, TCs will NOT draft, review, coordinate, or approve travel accounting's


  • TCs will be required to periodically compile and provide metrics to management regarding travel statistics (i.e. average processing tirne, number of trips arranged, etc.) as needed


  • TCs must review and validate all travel arrangements and documents for completion and accuracy


  • TC's will not be expected to travel in this capacity



WHAT YOU'LL NEED TO SUCCEED:


  • The position requires an active Top Secret/SCI with Polygraph clearance


  • HS Diploma and two (2) years of relevant experience or equivalent combination of education and experience.



  • Experince in managing and executing end-to-end travel arrangements


  • Customer is flexible with scheduling around the core hours of the office; additionally, extra hours may be required during a major event/crisis that have historically averaged 2-3 additional hours per week


  • Proficient Word, Excel, Outlook, PowerPoint


  • The position is on customer site

The likely hourly rate for this position is between $23.80 - $32.20. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
