Mail Processing Coordinator | Loyola Marymount University - Military Veterans

Position Summary Provide quality mail and customer services to the LMU community and support an efficient mail center operation by coordinating, scheduling, and processing all outgoing US Mail, as well as maintaining mailing equipment and systems. Position Specific Responsibilities/Accountabilities: Recruit, hire and train student staff as needed to assist in daily work functions and Distribution Center Clerks as assigned. Meter all outgoing mail and keep accurate records of all departmental charges for outgoing mail. Maximize the use of pre-sort rates and mail house services to reduce and control the University postage budgets. Operate a computerized mail machine. Serve as a back up technician for maintaining computer databases for USPS, BRMAS, and Short Pay accounts. Assist in the coordination and processing of bulk mailings. Prepare and process related paperwork. Operate all bulk mail equipment. Serve as a back up to the Bulk Mail Coordinator as needed. Prepare and submit all postage meter accounting reports to the Processing Supervisor in accordance with Distribution Center Accounting Procedures. Assist with processing all incoming mail; cross-train in all Distribution Center functions, including on-campus mail delivery and processing and delivery of mail going to and from the post office. Maintain mail processing area in a neat, clean, and organized condition. Serve to verify daily cash receipts from the Customer Service Counter, in conjunction with the Processing Supervisor. Critical and financially sensitive material must be processed, without fail, on a timely basis. These materials include, but are not limited to, the following: Trustee mailings; mass mailings for the Office of the President; Admissions materials (e.g., applications, acceptances, registration forms, and LMU catalogs); financial awards and acceptances; tuition and loan checks and airline tickets. Responsible for the maintenance, upkeep, and operations of certain Mail Center equipment. Perform other duties as assigned by the Processing Supervisor. Requisite Qualifications: Two years of hands-on experience in a heavy mail processing environment (e.g., mail house) preferred. PC experience using spreadsheets. Experience with mailing equipment (e.g., inserter and addressing equipment). Supervisory experience desirable. Postal rules and regulations regarding sorting, preparation, and dispatch of bulk mail, IPS, ISAL, and BRMAS. Preparation and submission of forms required by the USPS. Operation and daily preventative maintenance of modern mailing equipment, (e.g., Ascom Hasler). Basic accounting principles and spread sheet applications. Prioritize and process a high volume of incoming, outgoing, and intra-campus mail within scheduled deadlines. Maintain accurate records. Communicate effectively, both orally and in writing, with a diverse population. Ability to meet daily deadlines in processing an average volume of 20,000 pieces of mail (1.75 million pieces annually). Problem solving capabilities and organizational skills needed to coordinate equipment maintenance schedules, accounting functions, and related tasks. Effectively utilize student staff and existing facilities to perform job-related tasks in the most efficient manner possible with concern given to the needs of the customer. Must be able to manually repair mail boxes and their component parts as well as other mail equipment.
