Scheduled Hours 40 Position Summary Pre-award activities with moderate supervision and may assist with post award activities with supervision/oversight. Job Description Primary Duties & Responsibilities Works with Principal Investigator to compile and submit the entire grant according to established agency/university guidelines. Prepares and reviews all agency forms for submission. Enters grant budgeting documents on line. May coordinate the submission and post award activities for clinical trial studies; prepares forms and materials for the Center for Clinical Studies, works with PI and clinical research manager to prepare budget, obtains pricing quotes from other Departments, confirms CPT code for billing MD time, determines standard of care measures versus those strictly for research, prepares and submits invoices according to final executed contract, tracks receipt of checks from sponsor and ensure they are deposited in correct fund. Assists PI with obtaining potential grant applications/ instructions. Works closely with SPA office to ensure that all funds are set up in a timely manner; prepares any necessary project advances, no-cost extensions, and ensures that funds are carried forward as appropriate. Works with OSRS to ensure timely implementation of contracts and subcontracts by examining and supplying the necessary requirements to OSRS. Troubleshoots errors of moderate complexity in grant profile setups. Tracks and maintains online database of grants submitted, awarded, rejected, etc. Organizes and determines proper action plans including the oversight for advanced alerts to PIs of upcoming deadlines for continuation, competitive renewals, progress reports, etc. Responsible for ensuring that human and animal study protocols are associated with the applicable proposal or award. Coordinates transfer of PI grant files into Wash U and to new institutions or new departments. May be responsible for closure of grant accounts. Submits final progress report and final invention statement (if applicable) to the appropriate agency. Coordinates the necessary support with internal and external requests for grant-related information (i.e. current biosketches, trainee information, human/animal protocol approvals, and other support). Creates, addresses, and processes correspondence of low to moderate complexity with granting agencies (i.e. inquiries, carry forward requests, change in effort requests, no cost extensions, equipment purchase, and budget reallocation requests). Obtains signatures and forwards grant financial status reports to Principal Investigator and senior leadership. Updates grants lists monthly or when new fund numbers are received. Organizes and maintains electronic and hard copy grant files. Attends training sessions/seminars related to position. Assists senior leadership with special projects as requested. May assist with monitoring grant accounts and processing budget adjustments. Assists in preparing monthly financial reports on all research accounts and with sourcing adjustments. May approve purchasing documents and provide guidance to purchasing staff on appropriate expenditures according to specific grant policies. Other duties as assigned. Preferred Qualifications Knowledge of Workday, Adobe Acrobat, Microsoft Office, RMS, SUBS, agency guidelines, etc. Experience in grants administration. Microsoft Office including Word and Excel, PC. Working knowledge of standard accounting procedures and ability to utilize computerized accounting systems. Effective analytic skills. Effective verbal, written, and interpersonal communication skills. Keen eye for details. Required Qualifications Equivalent of Bachelors degree with three years of experience in accounting or related field or seven years of combined education and related experience. Grade G09-H Salary Range $22.25 - $34.45 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
