JOB SUMMARY

At Houston Methodist, the Lab Specialist I position is responsible for providing a broad range of support to the department by contributing to the planning and execution of both operational and strategic projects. This position is responsible for both technical and administrative duties in the simulation lab which require considerable initiative, experience, judgement, organizational skills, and knowledge of organization policies and practices. Utilizing many internal and external data sources, software tools, and network of contacts, the Lab Specialist I position serves a vital role in supporting the success of the simulation center’s operations. This position relies on appropriate resources for collecting relevant data and compiling information to provide subject matter expertise for the successful development and delivery of simulation training and related projects. Primary duties for the Lab Specialist I position involve simulation training development, preparation and support, and related duties include maintaining data and formulating reports in support of department initiatives, including capital budgeting, and capacity planning.

PRIMARY JOB RESPONSIBILITIES

PEOPLE - 15%

  2. Effectively engages key contacts and clients to obtain information that relates to strategic initiatives as highlighted by management. Represents department management at assigned committees, meetings, and other entity- related events to provide contributions or input as required. (EF)

SERVICE - 35%

  1. Participates on committees and task forces as assigned, ensuring that critical objectives are clearly understood, and action items appropriately delegated. Follows up on action items as necessary to ensure completion of assignments. (EF)
  2. Coordinates meetings and events to include simulation room assignments, equipment, and supply needs. Maintains detailed notes of meetings and develops documented lab plans for simulation events. (EF)
  3. Conveys information to management by assembling and summarizing data. Uses a variety of software applications to create/compose both routine and non-routine management level communications and reports. (EF)
  4. Provides subject matter expertise related to simulation training practices and capabilities. (EF)
  5. Prepares anatomic tissue specimens, maintains center’s inventory of equipment and supplies, coordinates inbound and outbound shipments for department and clients, and prepares spaces and equipment for simulation activity. (EF)

QUALITY/SAFETY - 30%

  1. Maintains associated paperwork, creates files, and develops effective presentation tools and/or reports for significant activities. Utilizes technology resources to conduct research for assigned projects. (EF)
  2. Collects relevant data, compiles information for management decisions, and ensures the successful execution of related events/activities using appropriate resources. Reconciles data to determine if actual results are as expected/anticipated. (EF)
  3. Performs routine administrative tasks contributing to the efficient flow of department operations. Develops reports and other presentation materials for management as needed. (EF)

FINANCE - 10%

  1. Maintains and reports key financial and/or operational metrics/processes as directed by management. May assist management in routine financial endeavors such as processing invoices and/or budget activities. (EF)
  2. Displays self-motivation to independently manage time effectively and prioritize daily tasks. Adheres to organizational guidelines regarding financial issues. (EF)
  3. Contributes towards meeting department financial targets through optimizing efficiency and other areas according to department specifications. Utilizes efficient and cost-effective work practices with department resources and supplies; provides recommendations to reduce expenses. (EF)

GROWTH/INNOVATION - 10%

  1. Improves operations by analyzing results and variances, identifies trends, and recommends actions. (EF)
  2. Seeks continuing education opportunities to expand learning beyond baseline competencies with a focus on continual development. (EF)

EDUCATION REQUIREMENTS

o High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)

o Bachelor's degree in healthcare administration, business administration, or other related healthcare field preferred

EXPERIENCE REQUIREMENTS

o One year of experience with project coordination

o Two years of experience in a healthcare, medical research, or academic setting with an emphasis on project coordination

o One year of experience in a clinical role or health care simulation lab preferred

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

o Demonstrates the skills and competencies necessary to safely perform the assigned job, determined through on-going skills, competency assessments, and performance evaluations

o Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security

o Ability to effectively communicate with patients, physicians, family members and co-workers in a manner consistent with a customer service focus and application of positive language principles

o Demonstrates ability to analyze problems and develop appropriate solutions

o Excellent time management skills; ability to work effectively with multiple time-critical priorities

o Proficient knowledge of Microsoft Office products including Excel and related computer applications

o Must have well-developed organizational skills

o Attention to detail with a high priority for timely delivery and accurate information

o Ability to work independently, as well as on cross-functional and interdisciplinary teams

o Knowledge of (or strong drive to learn) medical equipment and procedures, including surgical instruments and robotics, and advanced imaging modalities

o Knowledge of human anatomy, medical terminology, and medical procedures
