The Executive Assistant (EA) will be responsible for performing a wide range of complex and confidential administrative duties supporting the Vice President of Finance. As an integral part of the support system within the leadership team, the EA will be the primary point of contact and responsible for establishing procedures and/or systems to ensure the orderly and timely flow of business throughout the office. Highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced environment with short deadlines. Will demonstrate initiative, resourcefulness, and problem-solving skills in applying their knowledge, skills, and abilities to the responsibilities, functions and underlying management structure. Great tact and diplomacy are required to maintain the confidentiality and integrity of the office. Primary duties and responsibilities include: Answers calls, schedule appointments, meetings and makes travel arrangements for Senior VP Facilitate virtual and in-person meetings with department ensuring that required informational materials and equipment are provided Takes and transcribes minutes of meetings; ensures spelling, punctuation and grammar are correct Handles office filing system and database records for office; Research, gathers, edits, compiles, and organizes information from other departments, outside agencies, etc. in response to requests for special reports Compiles financial and operational data from multiple sources to assist management in preparing and monitoring budget and workforce planning and/or other department reports Coordinates projects, including assisting in: task completion management, setting deadlines, monitoring budgets, maintaining project timelines and associated deliverable Reviews various financial, business, and related reports and data; edits for error and makes corrections as necessary, coordinating such action with data originator Compose routine business correspondences with minimal edits Act as the Staff Development Advisory Network (SDAN), including employee file maintenance, and Kronos editor within the department Requirements: Education : High School Diploma/GED required.
