Grant Specialist II, Accounts Receivable - Sponsored Projects Accounting - Military Veterans

Position Summary Grant Specialist II â" Accounts Receivables (AR) plays a vital role in the sponsored project life cycle, overseeing all aspects of accounts receivable related to sponsor funded projects within the organization.

Job Description

Primary Duties & Responsibilities:

  • Oversee and manage grant receivables by tracking outstanding balances, conducting aging analysis, and coordinating collection efforts while maintaining accurate and organized invoice records. Collaborate with Grant Specialists to resolve billing discrepancies, payment delays, and other receivables-related issues.
  • Work closely with departmental staff and faculty to investigate and address collection concerns.
  • Communicate directly with sponsors to facilitate timely payments and resolve outstanding receivables.
  • Conduct in-depth analysis of grant receivables to identify concerning trends, such as aging balances, delayed payments, and recurring discrepancies. Escalate high-risk accounts, investigate underlying issues, and collaborate with internal teams and sponsors to develop resolution strategies.
  • Monitor inbox submissions for revisions and bounceback notices. Process revised invoice requests required by the sponsor or submitted by departments.Â
  • Send past due notices to sponsors for outstanding accounts receivables. Research and update sponsor contact information as requires for invoice requests.
  • Work exception (audit) reports for invoicing business processes.
  • Closeout accounting records for sponsored awards and other duties as assigned.

  • Sponsored Research administration in a large university environment experience.
  • Uniform Guidance and regulatory requirements for grant accounting experience.
  • Ability to interact professionally with staff of federal government, sponsoring organizations and with faculty and administrative staff at the university.
  • Ability to read and understand grant terms as they relate to reporting and transactional approval requirements.
  • Ability to research multiple years of financial activity in sponsored agreements.
  • Advanced degree may substitute for experience.

Salary Range $53,100.00 - $90,600.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
