JOB SUMMARY
The Coordinator Education, Library supports the daily operations and processes of the hospital library and CME activities for Naples Comprehensive Health. The coordinator schedules meeting rooms and classrooms, assists patrons electronically, over the phone, and in person, and aids in recording and tracking CME activities at NCH using the 'eeds' system.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Other duties may be assigned.
• Manages multiple requests and projects at same time and appropriately prioritizes customer service, operations and project requests.
• Schedules meeting rooms and classrooms at NCH including scheduling AV equipment and on-site technical support, as needed.
• Assists library patrons with requests electronically, over the phone, and in person.
o Requests may include assistance with finding appropriate resources, interlibrary loans, or help accessing databases.
• Assists in reaccreditation of CME program through FMA with periodic reaccreditation surveys (every 4 or 6 years) and appropriate activities.
• Prepares files and documentation for CME activities.
• Attends and supports CME activities, as needed.
• Along with Medical Librarian, identifies needed CME or CME/GME activities through multiple sources, identifies speakers and appropriate objectives for activities. Makes all arrangements for speakers (including but not limited to hotel, travel, and food) and ensures all needed materials are received. Prepares all documents for activity and follows up with appropriate departments for evaluation (quality, pharmacy, etc.). Ensures that all documentation is accurate and keeps files for 6 years for FMA.
• Prepares payment and check requests as needed to support CME activities.
• Prepares deposits and maintains a database for CME accounting purpose and creates check requests from the database when reimbursement or payment is required for the Specific Purpose Fund.
• Tracks and records attendance for CME activities.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
• Minimum of Associates Degree with 2 years administrative experience in office or educational setting OR High School/GED with 5 years administrative experience in office or educational setting required. Healthcare experience preferred.
• Proficient in Microsoft Office applications including Word, Outlook, Excel, Publisher, and PowerPoint.
• Excellent communication skills both written and verbal with a strong customer service orientation. Experience supporting multiple team members at one time preferred.
• Strong attention to detail, accuracy, produces a professional product.
• Strong time management skills, able to manage multiple tasks and deadlines from multiple people. Able to work independently and collaboratively in a team environment.
• Experience processing department payroll preferred; Kronos experience preferred.
• Intermediate computer knowledge: Uses Microsoft Word, Excel, Outlook, and Windows
